Job Summary The Assistant Director for Counseling Services supervises front‑desk operations within the Office of Student Financial Aid.
The role provides guidance to students and family members regarding financial aid options, eligibility, and application processes, including scholarships, loans, alternative financing, and debt management.
Responsibilities also include issuing financial aid, managing eligibility, ensuring compliance (R2T4, Verification, SAP), supporting cross‑functional counseling services, and delivered high‑quality assistance to internal and external stakeholders.
Responsibilities
Counsel students and families on financial aid eligibility and program options, aid distribution, renewal requirements, and the impact of enrollment changes.
Advise on non‑aid options such as payment plans and other institutional charges.
Supervise three Financial Aid Assistants, ensuring excellent customer service via phone, email, and walk‑in interactions.
Manage staffing and leave requests, conduct annual performance evaluations for front‑desk staff.
Monitor customer‑service performance, provide targeted training, and implement workflow efficiencies to reduce response times and improve accuracy.
Process federal, state, and institutional aid according to documented policies, performing technical system tasks for student aid.
Maintain compliance with R2T4, Verification, SAP, and other federal and state regulations.
Maintain accurate records, review counseling processes for regulatory compliance, and collaborate with leadership to address issues.
Perform additional duties as assigned.
Required Qualifications
Bachelor's degree from an accredited institution.
Minimum of three years of financial aid or related work experience.
Preferred Qualifications
Experience with student information systems such as Banner, Department of Education software, NSLDS, COD, or Ed Connect.
Knowledge, Skills, & Abilities
Willingness to learn Ellucian Banner SIS, CampusLogic, Technolutions Slate CRM, and other databases/interfaces.
Detail‑oriented with strong prioritization and organizational skills.
Ability to maintain confidentiality.
Independent, initiative‑driven problem‑solving and project implementation.
Collaborative ability with internal and external stakeholders.
Adherence to federal and state regulations regarding financial aid eligibility and distribution.
Professional judgment and critical thinking for interpreting and applying federal/state regulations.
Knowledge of FERPA and ability to comply with its requirements.
Team‑work spirit and strong collaboration skills.
Shift / Salary / Benefits Shift: Days, Monday‑Friday (outside of standard business hours may be required)
Pay Band: B10
Salary: $52,500–$54,600 annually (commensurate with qualifications within the range)
Benefits: Health, dental, life insurance; Teachers Retirement System or Optional Retirement Plan; paid vacation, sick leave, and 13 paid holidays.
Tuition Assistance Program for eligible employees after six months of employment.
Conditions of Employment
Successful completion of a background check is required.
