
INTAKE SPECIALIST

Overview
The Intake Specialist provides compassionate, responsive support to individuals seeking services, ensuring a smooth and efficient intake process. This role educates clients on available programs and treatment options, coordinates admissions, and secures authorizations to ensure timely access to care. Working closely with clinical, administrative, and external partners, the Intake Specialist supports continuity of care and delivers a positive client experience from the first point of contact.
Key Responsibilities
Clinical & Intake Coordination
Manage and follow up on waitlists and prospective clients
Conduct initial screenings (e.g., DDAP) and review cases with leadership
Coordinate and schedule intake appointments based on provider availability
Complete all intake documentation, including consents, ASAM assessments, and initial treatment plans
Submit cases for medical and leadership approval
Authorizations & Admissions
Obtain and manage initial and ongoing treatment authorizations
Coordinate with fiscal teams on fee agreements
Complete admission paperwork and assign patient identification numbers
Enter and manage client data in systems such as WITS and internal EHR platforms
Documentation & Data Management
Compile and maintain accurate patient charts and records
Ensure timely and compliant documentation in the electronic health record (EHR)
Support chart audits and make necessary updates
Manage dual enrollments and coordinate with external providers as needed
Administrative & Operational Support
Assist with filing, scanning, and front desk coverage as needed
Support care coordination and follow-up with referral sources
Partner with leadership on outreach and patient recruitment efforts
Assist with data entry and quality improvement initiatives
Additional Responsibilities
Complete 30-day follow-ups and discharge paperwork as needed
Manage courtesy dosing coordination
Support overall program operations as directed to ensure continuity of care
Qualifications
Bachelor’s degree in social services, healthcare, or related field preferred (or equivalent experience)
Minimum of 1 year of experience in intake, admissions, or healthcare administration preferred
Strong knowledge of Microsoft Office (Excel, Word, PowerPoint)
Excellent organizational skills and attention to detail
Strong communication, analytical, and problem-solving skills
Valid Driver's License
Ability to handle sensitive information with professionalism and confidentiality
