Position Overview
We are currently seeking a
Licensed Real Estate Assistant
for a
full-time hybrid position
based in
Honolulu, Hawai‘i , with some flexibility for remote work. This role is ideal for someone who is highly organized, proactive, detail-oriented, and passionate about real estate. You will play a key role in supporting daily operations, managing client communication, assisting with transaction coordination, and helping ensure a seamless experience for buyers, sellers, investors, and internal team members. You’ll work closely with leadership and agents to keep business moving efficiently while helping deliver a polished, professional, and client-focused experience. Key Responsibilities
Provide day-to-day administrative support for real estate operations Schedule appointments, showings, meetings, inspections, and key transaction deadlines Maintain and update client records, CRM systems, and transaction files Assist with preparing, organizing, and reviewing real estate documents and contracts Coordinate communication between clients, agents, escrow, lenders, inspectors, and vendors Help manage transaction timelines to ensure smooth and timely closings Support listing and buyer-side workflows as needed Deliver excellent customer service and responsive communication to clients and partners Assist with office organization, follow-up tasks, and remote support when needed Collaborate with team members to improve systems, efficiency, and overall client experience Qualifications
Strong communication and interpersonal skills Excellent customer service mindset with professionalism and warmth Prior real estate experience with understanding of contracts, timelines, and transaction processes Strong administrative and organizational skills with high attention to detail Ability to multitask and manage multiple priorities in a fast-paced environment Self-starter with strong problem-solving skills and adaptability Comfortable working in both in-office and remote/hybrid environments Ability to maintain confidentiality and uphold professional ethics at all times Proficiency with real estate software, CRM systems, MLS platforms, DocuSign, Google Workspace, or transaction management tools is a plus What We’re Looking For
