We are seeking a highly organized, detail-driven, and proactive Executive Assistant to keep our marketing operations running smoothly and efficiently. Responsibilities Keep Marketing Moving Provide day-to-day administrative support to the marketing team Manage schedules, organize files, and coordinate team meetings Track project timelines and help keep cross-functional initiatives on schedule Support sales team requests Jump in where needed—this role requires flexibility and a sense of urgency Own Our Marketing Materials Manage promotional items and literature inventory to ensure accuracy and availability Conduct weekly cycle counts and monthly inventory audits Process and ship materials to support the sales team Coordinate ordering and restocking of promotional items Ability to lift and move boxes as needed Support Memorable Events Assist in planning and executing on-site and off-site events Coordinate logistics and provide hands-on support during events Help manage company tours, including scheduling and catering Drive Internal Communication Compile and prepare weekly company updates Proofread and edit presentations, reports, and internal communications Serve as a key support contact during marketing campaigns Contribute to Business Growth Support customer account setup and onboarding processes Assist with communication and coordination across teams Ensure documentation is accurate, complete, and submitted on time Help analyze accounts and ensure smooth setup and execution Qualifications High school diploma or equivalent required Experience in administrative support, marketing coordination, or event planning preferred Project management experience is a plus Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) Salesforce experience is a plus Bilingual (English/Spanish) preferred (reading and writing) Exceptional organization and multitasking abilities Strong written and verbal communication skills High attention to detail—especially when managing inventory and proofreading materials A positive, team-first mindset with a willingness to jump in and help What Makes You Successful In This Role You stay organized even when things move quickly You take initiative and solve problems before they escalate You’re dependable and follow through on commitments You’re adaptable and comfortable supporting a variety of projects Additional Details Occasional evening or weekend availability may be required for events Join a team where your work keeps everything—and everyone—moving forward. #J-18808-Ljbffr
