Executive Assistant

to keep our marketing operations running smoothly and efficiently.

What You’ll Do:

Keep Marketing Moving

Provide day-to-day administrative support to the marketing team

Manage schedules, organize files, and coordinate team meetings

Track project timelines and help keep cross-functional initiatives on schedule

Support sales team requests

Jump in where needed—this role requires flexibility and a sense of urgency

Own Our Marketing Materials

Manage promotional items and literature inventory to ensure accuracy and availability

Conduct weekly cycle counts and monthly inventory audits

Process and ship materials to support the sales team

Coordinate ordering and restocking of promotional items

Ability to lift and move boxes as needed

Assist in planning and executing on-site and off-site events

Coordinate logistics and provide hands-on support during events

Help manage company tours, including scheduling and catering

Drive Internal Communication

Compile and prepare weekly company updates

Proofread and edit presentations, reports, and internal communications

Serve as a key support contact during marketing campaigns

Contribute to Business Growth

Support customer account setup and onboarding processes

Assist with communication and coordination across teams

Ensure documentation is accurate, complete, and submitted on time

Help analyze accounts and ensure smooth setup and execution

What You Bring:

High school diploma or equivalent required

Experience in administrative support, marketing coordination, or event planning preferred

Project management experience is a plus

Strong proficiency in Microsoft Office (Word, Excel, PowerPoint)

Salesforce experience is a plus

Bilingual (English/Spanish) preferred (reading and writing)

Exceptional organization and multitasking abilities

Strong written and verbal communication skills

High attention to detail—especially when managing inventory and proofreading materials

A positive, team-first mindset with a willingness to jump in and help
