Graphic design is at the heart of how HDLA communicates. From the proposals we submit to the final engagement documents we deliver to clients and communities, the quality of our design work shapes how the firm is perceived and how our ideas are understood. This role exists because we take that seriously.
The Marketing and Graphic Design Coordinator will work directly under our Marketing Manager and Operations Principal to design and produce the full range of HDLA's client-facing materials. This is an entry-level position well-suited for an early-career designer who has strong visual instincts, takes pride in their craft, and wants to build a career at the intersection of graphic design and the built environment.
This is a full-time, in-office position located in Nashville, TN.
ROLE OVERVIEW The Marketing and Graphic Design Coordinator is responsible for the design and production of HDLA's proposals, qualifications packages, presentations, and marketing materials. The role requires a strong foundation in layout and visual communication, the ability to work within an established brand system while bringing thoughtfulness and care to every deliverable, and the discipline to manage multiple projects with competing deadlines.
The coordinator will work closely with the Marketing Manager, Sarah DuBose, and Operations Principal, Chris Mantle, and will collaborate regularly with Partners, Principals, and design staff to translate project work and firm expertise into compelling visual communications.
This position is design and production focused at the outset, with opportunities to contribute to broader marketing strategy and client-facing initiatives as skills and experience develop.
PRIMARY RESPONSIBILITIES Graphic Design and Visual Communication
Design and produce proposals, RFQ, RFP, and SOQ packages that are visually compelling, clearly organized, and consistent with HDLA brand standards
Develop and refine the layout and visual presentation of project sheets, team resumes, and qualifications packages
Design client-facing presentations and pitch materials in InDesign and PowerPoint, with attention to visual hierarchy, typography, and storytelling
Contribute original graphic thinking within the HDLA brand system, bringing a designer's eye to layout, image selection, and composition
Maintain and evolve graphic templates to ensure materials remain current, consistent, and of high quality
Marketing Content and Brand Stewardship
Create graphics and visual content for social media, website updates, and firm announcements
Support the design and preparation of award submissions, project photography coordination, and press materials
Maintain organized, current digital libraries of project images, descriptions, and marketing assets
Assist with drafting and editing copy for marketing materials under the direction of the Marketing Manager
Uphold HDLA's visual identity standards across all platforms and deliverables
Coordination and Production Support
Track and manage pursuit materials, submission deadlines, and production schedules
Support the Marketing Manager in coordinating the proposals and communications calendar
Coordinate with Partners, Principals, and design teams to gather project content, imagery, and information for marketing use
Maintain well-organized filing systems for proposals, project sheets, and marketing assets
PROFESSIONAL DEVELOPMENT HDLA is committed to the long-term growth of this role. Under direct mentorship from the Marketing Manager and Operations Principal, the coordinator will develop expertise across the following areas:
Graphic design and visual communication within the AEC industry
Proposal strategy and pursuit management
Brand development and professional communications
Project workflow and production management within a design firm
Collaboration with firm leadership, Principals, and cross-office teams
QUALIFICATIONS AND SKILLS Required
Bachelor's degree in Graphic Design, Visual Communication, Marketing, or a related field
0 to 2 years of professional experience; internship experience in a design, AEC, or communications environment is a plus
Strong proficiency in Adobe Creative Suite, with particular emphasis on InDesign, Photoshop, and Illustrator
A portfolio demonstrating layout, typography, and visual communication skills; student and internship work is welcome
Excellent attention to detail with the ability to work consistently within brand standards and established templates
Highly organized, self-motivated, and capable of managing multiple tasks under deadline
Clear and professional communicator with reliable follow-through
Preferred
Exposure to the architecture, engineering, landscape architecture, or planning industry
Familiarity with Microsoft Office Suite, including PowerPoint and Word
Basic understanding of proposal and RFP or RFQ processes
Genuine interest in design, place-making, and the built environment
