Jewish Family & Children's Service is seeking an
Advancement Associate
to support the Institutional Advancement Team. With $32 million in revenue, 40 programs, and 15,000 clients, JF&CS is a complex, dynamic and much-beloved organization with a mission of helping individuals and families move from vulnerability to strength.
The AA will report to the Advancement Operations Manager. This role will be responsible for a broad range of administrative duties and projects including gift processing and acknowledgement. The successful AA will be flexible and resourceful, possess a high level of customer service savvy and excellent organization and time management skills. You should be comfortable with technology, able to use and learn a range of software systems to support productivity and efficiency, including donor databases/CRMs.
The annual salary range is $50,000-$52,000, paid at an hourly rate. This is a full-time, in-person position with benefits and generous time off.
Your Workday Will Include
Administrative support for the CEO, CAO and Director of Donor Engagement, including managing calendars, processing expenses and bills, creating PowerPoint presentations and external documents, and performing other functions to support the executive team.
Supporting the donor database
Develop and maintain consistent and efficient processes for gift entry and acknowledgement
Record all gifts, pledges, and pledge payments in Raiser’s Edge NXT
Execute the gift acknowledgement process to ensure every donor feels appropriately recognized and thanked
Produce and distribute recognition cards for tribute gifts
Assist with responding to donation inquiries
Manage the acknowledgment letter process for donations
Maintain excellent hard-copy and electronic records for gifts, pledge documentation, acknowledgement letters, and other development materials
Create and distribute pledge reminders
Ensure all constituent records are accurate and up to date through regular maintenance of contact and biographical information
Coordinating internal and external meetings and events, including working directly with donors, partners, and staff. Duties include all scheduling, preparation of meeting materials, room set-up, catering, minutes, and post-meeting follow-up to make sure the work stays on track.
Support for the broader development team, including conducting research on prospective donors, creating donor bios, and updating internal development website to help the team share information.
Performing additional tasks as needed—ranging from data collection/entry to project coordination, etc. Ours is a busy and diverse department, with the opportunity to add value in other ways based on your skill set, productivity and interests.
Requirements
High school diploma or equivalent required; associate or bachelor’s degree preferred.
Strong attention to detail and accuracy, particularly when working with donors and gift records.
Excellent organizational and time‑management skills, with the ability to manage multiple priorities and deadlines in a busy office environment.
Clear written and verbal communication skills, including professional interaction with donors, volunteers, and staff.
Proficiency with Microsoft Office, especially Excel, Word, and Outlook. Experience with a CRM preferred.
Ability to handle confidential information with discretion and professionalism.
Ability to work collaboratively as part of a team while also managing independent tasks
Ability to work onsite in Waltham, MA during regular business hours. Previous administrative, operations, or data‑entry experience, preferably in a nonprofit or advancement/development setting.
