Position Summary The Managing Clerk is responsible for overseeing all court-related filings, calendaring, and procedural compliance for the firm. This role serves as a critical liaison between attorneys, court personnel, and internal staff to ensure accurate, timely filings and adherence to jurisdictional rules. The Managing Clerk also leads and mentors docketing and filing staff while driving process efficiency and risk mitigation across litigation matters. Key Responsibilities Court Filings & Compliance: Manage and oversee the preparation, review, and filing of legal documents in state and federal courts (including e-filing systems). Ensure all filings comply with applicable court rules, procedures, and formatting requirements. Track and implement updates to court rules, procedures, and filing protocols. Docketing & Calendaring: Oversee firm-wide docketing and calendaring of court dates, deadlines, and case milestones. Ensure accuracy and timeliness of all entries, including litigation deadlines, hearings, and motions. Implement and maintain best practices for docket control and deadline management. Team Leadership & Training: Supervise and mentor docketing clerks, calendar clerks, and filing staff. Provide training on court procedures, filing systems, and internal protocols. Allocate workload and ensure efficient team performance. Liaison & Coordination: Serve as primary point of contact with court clerks, judges’ chambers, and external filing vendors. Collaborate with attorneys, paralegals, and administrative staff to support litigation workflows. Assist attorneys with procedural questions and filing strategies. Process Improvement & Risk Management: Identify and implement process improvements to enhance efficiency and reduce filing errors. Develop and maintain internal policies and procedures related to docketing and filings. Conduct audits of docketing systems and filing practices to ensure compliance and mitigate risk. Technology & Systems Management Oversee the use and optimization of docketing and calendaring systems (e.g., CompuLaw, eDockets). Troubleshoot filing system issues and coordinate with IT or vendors as needed. Evaluate and recommend new tools to improve operational efficiency. Qualifications Bachelor’s degree or equivalent experience required. 5–10+ years of experience in a law firm, court system, or legal environment with a strong focus on docketing, calendaring, and filings. Prior supervisory or team leadership experience preferred. Extensive knowledge of state and federal court rules, procedures, and e-filing systems. Experience with docketing/calendaring software (e.g., CompuLaw, CourtAlert, ProLaw). Strong attention to detail and ability to manage multiple deadlines in a fast-paced environment. Excellent communication and organizational skills. Preferred Skills Expertise in multi-jurisdictional litigation support. Strong problem-solving and process improvement mindset.
