Department Description Our Executive Assistants form a team of experienced professionals supporting top executives worldwide. They act as strategic partners, keeping executives and their teams focused on company goals while embracing the Salesforce Ohana.
Role Description We are looking for Executive Assistants to support our executives across the globe. This role requires strong teamwork, service, and excellence, with the ability to adapt skills based on each executive’s function, personality, and communication style.
Your Impact Our Executive Assistants enable the success of executives, fostering a culture of teamwork and job satisfaction.
Core Responsibilities
Manage day‑to‑day schedules to keep executives organized and efficient.
Coordinate internal and external meetings, including team meetings, all‑hands gatherings, off‑site events, and one‑on‑one sessions.
Prioritize calendars based on customer meetings, release cycles, fiscal dates, current projects, team needs, and Dreamforce.
Book domestic and international travel following Salesforce travel policy, handling visas, costs, and documentation.
Collaborate with employees from all groups and senior executives within and outside Salesforce.
Assist with food orders, luncheon planning, and other business‑related meetings.
Perform additional administrative and project duties as requested.
Minimum Requirements
Located in an approved location and willing to work in office 3 days per week (hybrid).
Minimum of 5+ years of administrative experience, preferably within a global software organization.
Proficient in setting up and managing virtual meeting platforms (Zoom, Webex, GoToWebinars, Google Hangouts).
Strong teamwork and collaboration skills with a proactive improvement mindset.
Excellent relationship‑management abilities and a personal network within the company.
Intermediate project coordination experience.
Strong verbal and written communication skills, including clear communication with senior leaders and external partners.
Experience partnering with senior management in a fast‑paced, innovative environment.
Experience working with large administrative teams.
Working proficiency in Google Suite (Gmail, Docs, Drive, GMeet). Experience with Quip, Slack, Salesforce, and Tableau is a plus.
