The Intake Specialist is a support position to both the clinical and administration teams at the Precourt Healing Center. This role is the main contact for pre‑registration and admit‑registration, serving as the initial point of contact for patients as they arrive at the facility.
Key responsibilities include support for the Intake & Admissions Coordinator, collaboration with Utilization Management, Admissions, Insurance Verification, and Financial Advisor teams, and handling of crisis management, visitation coordination, deliveries, patient signatures, phone calls, laboratory registrations and other administrative duties.
Full‑time, 40 hrs/week. Schedule: Wed‑Fri 5‑10pm, Sat‑Sun 7am‑7:30pm.
What you will do
Patient Registration Management:
Obtain, verify, and register patient information, ensuring a streamlined admissions process through effective communication with the Intake & Admissions Coordinator and Hospital Admit team.
Crisis Management:
Trained in de‑escalation techniques, manage escalated interactions in crisis situations, including sitting with patients until additional support arrives.
Safety Procedures:
Conduct safety checks and assist with belongings searches for patients and visitors; identify and communicate potential unsafe situations.
Effective Communication:
Communicate clearly and professionally with patients, visitors, community partners, providers and colleagues via in‑person, e‑mail, telephone, fax, Microsoft Teams.
Documentation Management:
Establish and maintain files, scan medical records timely, and keep information systems organized; collaborate with outside agencies and internal departments to fulfill documentation requests.
Data Support:
Participate in departmental data collection, analysis, reporting and documentation audits to meet compliance regulations.
Versatile Role Engagement:
Work in diverse patient settings around the Edwards Community Health Campus, including floor units, outpatient support and external collaboration.
Team Involvement:
Attend departmental staff meetings and huddles, provide feedback, and assist in training and educating new staff members.
Cultural Competency:
Model the principles of a Just Culture, uphold Organizational Values, foster teamwork and inclusivity.
Additional Duties:
Perform other tasks as assigned, showcasing flexibility and adaptability in a dynamic environment.
Compliance Awareness:
Maintain HIPAA compliance and demonstrate understanding of patient privacy sensitivities.
What you will need
One year of experience in behavioral health, healthcare, previous admitting, clerical, customer service or hospitality (required).
Experience in behavioral health (preferred).
Knowledge of community resources (preferred).
Knowledge of Spanish (a plus).

Computer / Typing
Must possess, or be able to obtain within 90 days, the computer skills required to complete online learning, online forms, policies, benefits enrollment and other job‑specific activities. Must have typing and computer skills for this position.

Education
Coursework or experience with Medical Terminology preferred.
