About the Role Visionary Homes is seeking a highly organized, proactive Executive & Growth Strategy Assistant to support the President & Chief Growth Officer while also serving as an execution and coordination resource for the Growth & Strategy team.
This is an onsite position based at our Headquarters in North Logan, Utah.
Job Overview This role is responsible for reducing executive cognitive load by maintaining continuity across meetings, decisions, and strategic initiatives—ensuring context, commitments, and follow‑through are never lost. The Assistant acts as the operational steward of executive workflows by preparing meetings, tracking decisions, closing open loops, and ensuring actions move from discussion to completion without relying on executive memory.
The role balances direct executive support with Growth & Strategy coordination, flexing based on business priorities. This individual does not make decisions or own strategy, but ensures decisions are well‑prepared, clearly documented, communicated appropriately, and successfully executed.
Key Responsibilities Executive Support (Primary)
Manage and triage the President & CGO’s email inbox, including drafting responses, flagging decision‑critical items, and routing requests appropriately
Manage executive calendar scheduling, including prioritization, conflict resolution, meeting preparation, and follow‑ups
Schedule travel and manage travel logistics
Prepare meetings so they are productive, decision‑ready, and require minimal executive re‑orientation
Capture meeting outcomes, decisions, and action items; ensure follow‑through through completion
Assist with ad hoc executive requests and special projects
Continuity, Context & Follow‑Through
Maintain continuity across executive meetings, initiatives, and workstreams by tracking decisions, commitments, and open loops
Ensure actions discussed in meetings translate into clear owners, next steps, and completion
Proactively surface unresolved items, stalled progress, or execution gaps
Preserve context between meetings so the President does not need to reconstruct prior discussions
Own the tracking and follow‑up of executive action items so commitments do not rely on executive memory
Help prevent dropped balls, forgotten commitments, or inconsistency across teams
Validate and document approved sales pricing changes
Maintain and update the master incentive tracking sheet
Track approved Visionary Incentives (VI), including mapping incentives to effective rate or value
Coordinate communication of pricing and incentive updates across Sales, Marketing, and Systems
Ensure pricing and incentive documentation is accurate, current, and consistently applied
Flag discrepancies or inconsistencies between approved pricing, incentive documents, and field usage
Business Planning & Strategic Documentation
Assist with the compilation, editing, and organization of business plan materials
Track required inputs and proactively follow up with contributors
Maintain version control and organization of strategic deliverables
Support executive requests related to strategic planning deliverables
Prepare concise, executive‑ready summaries and briefing materials as requested
Schedule and coordinate CMA (Comparative Market Analysis) meetings
Schedule market briefings, strategy working sessions, and cross‑functional reviews
Schedule, run, and document L10 and Growth & Strategy working meetings as needed
Distribute meeting notes and track action items
Assist Growth, Strategy, Marketing, and Experience teams with coordination and execution support
Maintain visibility into major growth and strategy initiatives to support follow‑through
Requirements
Exceptional organizational and follow‑through skills
Strong written communication and editing ability
Deep proficiency in Microsoft Word; comfortable working in Excel and PowerPoint
High attention to detail and consistency
Professional judgment and discretion
Comfort supporting senior leadership and interacting with directors
Ability to work cross‑functionally and follow up without authority
Thinks in terms of “what is still open” and takes ownership for closing loops
Thrives on structure, clarity, and completion
Physical Requirements Requires prolonged sitting, while working at the computer
