Notre Dame Seminary Administrative Assistant
Notre Dame Seminary is seeking a full-time administrative assistant. The ideal candidate should have experience working in a church, business, or school setting. This candidate is expected to be: professional and dependable; comfortable in an office setting; organized; and able to work both independently and in group settings. This person will work directly with the Director of Development and the Executive Assistant to the Rector, as well as assist the seminarians, faculty, and staff at Notre Dame Seminary.
Primary Responsibilities
Greeting and closely monitoring all progress and egress of all visitors and guests
Answer and direct phone calls, take messages, and respond to general inquiries
Manage front door access, visitor sign-in, and security procedures
Sort, distribute, and manage all mail and packages
Reserve and oversee all guest rooms
Schedule and manage use of shared meeting rooms and common spaces
Schedule and coordinate tours
Provide general clerical support, including mailings, filing, photocopying, scanning, and data entry
Maintain office supplies and order replenishments as needed or requested
Process and log incoming cash and checks
Assist Development Office with data entry and correspondence
Assist with Gala, Christmas Luncheon, Alumni Day, and other events sponsored by NDS, occasionally occurring on nights and weekends
Provide support to the Rector's Administrative Assistant as needed
Additional duties as needed
Skills and Qualifications
5+ years of administrative or office support experience preferred
Computer proficiency required, including Microsoft Office and Google Applications
Strong verbal and written communication skills
Ability to multitask and prioritize tasks in a fast-paced environment
Highly ethical, particularly in working with confidential and sensitive information
Committed to the mission of Notre Dame Seminary and conduct all activities in line with the mission of the seminary and the teachings of the Catholic Church
Compensation Salary commensurate with experience plus a comprehensive benefits package that includes:
