Position Overview The Purchasing Agent plays a critical role in the successful delivery of Treehouse Builders’ single‑family Build‑to‑Rent (BTR) communities by owning key aspects of trade partner procurement, cost control, contract administration, and permit coordination from early product development through vertical construction and turnover.
This role is accountable for maintaining budget integrity, unit cost accuracy, and pricing discipline across assigned communities. The Purchasing Agent partners closely with Construction, Centralized Services, Accounting, and Trade Partners to ensure scopes of work, pricing, permits, and contracts are properly established, maintained, and executed to support predictable schedules and cost performance.
What You Will Do Purchasing, Budgeting & Cost Control
Lead the setup and maintenance of house budgets by plan, elevation, and option within Brix to support accurate unit cost reporting and variance tracking.
Create and manage Job Start packets with accurate, approved unit costs to support smooth field execution.
Release Purchase Orders, process change orders and maintain pricing integrity throughout construction.
Generate, analyze, and distribute weekly variance reports using Brix and BuildPro, partnering with field teams to identify root causes and drive resolution.
Eliminate office‑related variances through proactive coordination with Construction, vendors, and Accounting.
Maintain rebate trackers and coordinate timely submittals with the Centralized Services team.
Trade Partner & Contract Management
Onboard new subcontractors, including contract setup, insurance verification, and compliance tracking.
Maintain market‑specific Scopes of Work across all construction phases, ensuring consistency and clarity for BTR execution.
Establish and maintain Bid Trackers by project, supporting competitive bid processes and pricing transparency.
Support contract negotiations and pricing updates to reflect scope changes, market conditions, and project requirements.
Serve as a liaison between vendors and Accounting to resolve invoice discrepancies, purchase order adjustments, and payment issues.
Partner with Construction leadership to support trade partner performance, including pricing accuracy, responsiveness, and adherence to scopes.
Permitting, Compliance & Municipal Coordination
Coordinate permit phasing plans with the Construction team to align with BTR start schedules.
Ensure code compliance by municipality, including all energy and jurisdiction‑specific requirements.
Upload all permits to required systems and distribute stamped permit sets to field teams, tracking receipt and acceptance.
Reporting, Systems & Cross‑Functional Support
Maintain accurate product catalogs, bid documents, and purchasing records.
Create and distribute starts tracker reports by project.
Ensure all Standard Bid Documents are current and consistently distributed.
Provide ongoing purchasing support to Construction and Centralized Services teams across multiple active communities.
Participate in continuous improvement efforts related to purchasing processes, systems, and reporting.
Occasional travel is required to support project needs.
Perform all other duties and tasks as assigned by management.

Ideally, You’ll Have
Bachelor’s degree in Business Administration or a related field, with 3+ years of purchasing experience in residential construction.
Strong ability to analyze budgets, contracts, and reports to identify discrepancies and resolve issues.
Working knowledge of construction documents, scopes of work, and residential building processes.
Proven ability to manage multiple priorities in a fast‑paced, production‑oriented environment.
Collaborative mindset with the ability to work effectively across Purchasing, Construction, Accounting, and Trade Partners.
Strong attention to detail, organization, and time management skills.
You’ll crush it if you have experience with
4+ years of purchasing experience with a residential builder, general contractor, or BTR platform.
Experience supporting single‑family rental or BTR communities, including repetitive product and phased permitting.
Bid package preparation, analysis, and trade partner evaluation experience.
Comfort evaluating price, quality, reliability, and availability of goods and services.
Strong communication skills and a clear understanding of how a project moves from concept through delivery.
Technical aptitude and experience with JD Edwards, Brix, BuildPro, Smartsheet, or similar construction systems.
Awareness of market pricing trends, trade availability, and cost escalation considerations.
