Property Administrator

to serve as the organizational engine for the General Manager and operations leadership team at a premier Class X ultra-luxury property in

Miami Beach . In this role, you aren't just working in the background; you are an embedded partner ensuring that information flows correctly and that leadership's attention stays focused on what matters most.

At this property, exceptional administration is considered a form of hospitality. We are looking for a professional who brings precision, discretion, and a proactive mindset to every task.

Core Responsibilities

Executive Support:

Own the General Manager’s calendar with full accountability, proactively resolving scheduling conflicts and protecting time for high-value leadership activities.

Communication Mastery:

Prepare and proof professional correspondence, reports, and presentations, ensuring every document reflects the building's high standards.

Operational Triage:

Manage incoming communications (emails, calls, and requests) with sound judgment—flagging urgent items and resolving routine requests directly.

Administrative Coordination:

Support the operations team by tracking project milestones and action items across vendors and internal departments.

Financial & Contract Support:

Assist with preparing vendor contracts and procurement documentation. Support budget tracking, expense reporting, and invoice reconciliation.

Tenant & Visitor Logistics:

Coordinate scheduling for tenant meetings, VIP visits, and building tours, interacting with high-profile guests with warmth and polish.

Office Excellence:

Maintain executive and shared administrative spaces to impeccable presentation standards and manage office inventory.

Onboarding & Confidentiality:

Support new hire logistics and handle all personnel, financial, and resident data with absolute discretion.

What You’ll Bring

Experience:

3+ years in property administration, executive support, or operations coordination, ideally in luxury hospitality or premium real estate.

Technical Skills:

Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfort with property management or scheduling platforms.

Communication:

Exceptional written and verbal skills; bilingual fluency in

English and Spanish

is strongly preferred.

Mindset:

A self-directed, "zero tolerance for dropped details" work style with the ability to remain calm and unflappable under pressure.

Presence:

A professional and polished demeanor consistent with an ultra-luxury service environment.

Miami Beach, FL.

Schedule:

Monday – Friday (Full-Time, Non-Exempt).
