Under general supervision, performs a wide variety of paraprofessional duties in support of the Community Development Department services and functions; provides customer service to applicants, developers, consultants, the general public, and outside organizations and agencies regarding City codes, policies, standards and processes; and performs related duties as assigned. Knowledge of: Basic issues, concepts, procedures and practices related to the area of assignment; customer service and public relations principles and practices; office procedures, methods, and equipment including computers; basic computer applications such as word processing, spreadsheets, and databases; records management principles and procedures including record keeping and filing principles and practices; methods of proper telephone etiquette; mathematical principles; basic principles of business letter writing and report preparation; English usage, spelling, grammar, and punctuation; basic constructions methods and terminology Ability to: Performs a variety of paraprofessional duties of a general and specialized nature in support of the Community Development Department; provide effective and courteous customer service to external and internal customers; learn the organization, operation and services of the City; learn to correctly interpret and apply general administrative and departmental policies and procedures; respond tactfully, clearly, concisely, and appropriately to job related queries and problems from other City staff, the general public and outside agencies; accurately count, record and balance assigned transactions; prepare routine correspondence and memorandum; establish and maintain a filing system; communicate clearly and concisely, both orally and in writing. Physical and Environmental Demands: Sufficient physical ability to work in an office setting: sit, stand, walk, reach, twist, turn, kneel, bend, squat, stoop for prolonged period of time, and/or strength and agility to lift up to 50 lbs of computer equipment. Examples of Duties Performed

The following duties are typical for this classification. Incumb ents may not perform a ll of the listed duties and/or may be required to perform add iti ona l or different duties from those s et forth to address business needs and changing business practices. I ntera c ts with the pub li c or internal customers over the telephone or at a public counter; answers questions, conducts transactions, and provides conc i se and correct inform ation to customers and the publ i c ; assists the public in understanding and filling out a variety of applications to ensure completeness, cons isten cy, and comp l iance with all regulations and requirements. Interprets or explains Departmental policies, procedures, r eg ulations and codes to the public. Processes Home Occupation permits and renewals, commercial business permits, and business l ic enses. Collects fees for permits that are issued; prepares receipts or invoices, reconc iles and balances accounts or statements; monitors Departmental monthly balances of projects and general ledger accounts and coordinating with the Finance Department. Composes letters, memos, reports, or other written material from general i nstructi on in accordance with established policy and/or procedure ; determines appropriate form of letter or notice to send to cl i ents, applicants or other respondents ; reviews, proof reads and edits documents and correspo nden ce to ensure proper grammar, spelling, punctuation, format and completeness. Comp il es and copies information and sends materials in response to routine public records request. Maintains accurate and up-to-date office files, record s, and logs for assigned areas ; develops, prepares, and monitors various logs, accounts, and files for current information including manual and computer logs of documents processed. Compi les, prepares and enters data i nto a computer from sources inc l uding a ccounting, statistical, project logs, and related documents ; c r ea tes and maintains computer based tracking information and reports including assigned database, records, and lists; creates standard statistical spreadsheets; inputs corrections and updates ; verifies data for accuracy and comple teness. Maintains cale ndar of activities, meetings, and various events for assigned staff ; coordinates meetings w ith other City departments, the pub l i c, and outside agencies; coordinates and arranges special events asassigned. May serve as secretary of Planning Commission meetings asassigned; may act as a liaison to p lann ing commission members; may assists in preparing and distributing agenda packets and correspondence; may take and maintain record of minutes and complies with meeting notice-posting requirements. Establishes and maintains traditional and automated filing systems by prepar i ng new file folders and sorting, fi li ng, shelving or storing materia l ; c hecks accuracy and comp l eteness of information being filed. Maintains inventory of office supplies, completes forms for order i ng materials or supplies, and follow upon delivery of ordered materials. Performs related duties as assigned . Minimum Qualifications

Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be: Education: High school diploma or equivalent is required. Experience: Two years of progressive responsible general office support and c l er i cal experience is required. Experience worki ng and providing assistance to the public in a planning, building or engineering office is highly desirable . License;Certificates;SpecialRequirements: A val id Class C California driver ' s license. Work may be required on evening meetings.
