Position Overview

As Unboxed Group continues to grow, we’re looking for a highly organized, detail oriented and motivated Associate Producer to support our team in New York in bringing bold, creative ideas to life. This junior level role is ideal for someone who is eager to grow in their career and thrives in fast paced environments. As an Associate Producer, you’ll support the execution of projects from start to finish by helping manage timelines, coordinate logistics, track budgets and assist with vendor communication. What You’ll Do:

Project Coordination & Leadership

Oversee day-to-day production workflows and ensure timely execution across all phases of a project. Maintain and manage detailed production timelines; proactively communicate adjustments to internal stakeholders and clients. Identify production risks, resource gaps, or timeline impacts and propose actionable solutions. Delegate tasks to both the Senior Coordinator and Coordinator, providing guidance, clarity, and support as needed.

Vendor & Crew Management

Lead vendor and crew sourcing in alignment with project needs (Lead Producer provides final approval). Evaluate quotes, negotiate rates when appropriate, assess vendor deliverables, and prepare recommendations for producer approval. Oversee vendor communications, logistics, and deliverables, ensuring accuracy and timeliness. Provide direction to both the Senior Coordinator and Coordinator on vendor paperwork, logistics, and follow-ups.

Budget Management

Build and maintain comprehensive budget trackers, including actuals, estimates, and line-item updates. Oversee the PO and invoice process; ensure accuracy and compliance before final review by the Lead Producer. Prepare preliminary budget reconciliations and spending summaries, identifying variances and proposing adjustments. Guide both the Senior Coordinator and Coordinator in receipt collection, expense documentation, and tracker maintenance.

Client & Internal Communication

Serve as a key point of contact on production-related calls and meetings, supporting the Lead Producer with clear updates and risk assessments. Draft and deliver status updates, timelines, production summaries, and client-facing documentation. Ensure smooth, consistent information flow across creative, production, and operations teams. Oversee onboarding of on-site event staff through email and Wrapbook, ensuring compliance and accuracy (Senior Coordinator executes; Lead Producer approves final selections).

Production Prep & On-Site Management

Lead creation of production documents, including call sheets, run of show, schedules, and site maps. Own on-site production operations from load-in to strike, ensuring teams are informed, efficient, and compliant. Supervise all event staff, ensuring proper scheduling, task delegation, and adherence to clock-in/out and meal break protocols. Oversee both Senior Coordinator’s and Coordinator’s support tasks on-site and ensure all releases, timecards, and paperwork are complete and organized.

Process, Quality Control & Organization

Maintain and enforce organizational standards across drives, folders, trackers, and documentation. Review work completed by both the Senior Coordinator and Coordinator to ensure accuracy and consistency. Recommend and implement workflow improvements, production tools, and documentation standards to increase efficiency. Support the Lead Producer in building repeatable systems and scalable production processes.

Experience You Bring:

Bachelor’s degree in Business, Marketing, Communications, Public Relations or equivalent field. 4-6 years of proven event production, special events, experiential marketing experience or related field required Self-starter with a positive attitude Desire to learn, be continuously challenged and grow Strong written and verbal communication skills Experience working in a fast paced, agency environment preferred Strong attention to detail and ability to produce accurate and professional documents.

Additional Requirements:

25% travel expected Flexibility to work non-traditional hours based on event schedules. Physical requirements include sitting for extended periods, standing/walking for onsite work, lifting/moving of up to 25 pounds and occasionally heavier items. While working onsite, must be able to work outdoors in various weather conditions as needed.

Perks & Compensation

Pay: $80,000 - $90,000 per year Time Off: Unlimited PTO to ensure you stay refreshed and inspired. Benefits: Health Insurance & 401k enrollment options.
