Position Overview
We are seeking a detail-oriented and customer-focused
Order Management Specialist
to support daily operations within a custom manufacturing environment. This role is critical to ensuring sales orders are accurately entered, tracked, and communicated across internal teams, vendors, and customers.
The Order Management Specialist is
not a buyer role
. Instead, it focuses on order accuracy, documentation, coordination, and customer support-freeing up purchasing resources to concentrate on supplier management. The ideal candidate values accuracy, follows through on tasks, and takes pride in keeping operations running smoothly.
This position will begin with hands-on, task-driven responsibilities and evolve into greater ownership of order flow and customer communication as proficiency increases.
Key Responsibilities
Order & System Management
Review incoming sales orders for accuracy, pricing, and documentation requirements
Enter detailed job and order information into the ERP system
Maintain clear, accurate job notes and order records
Enter new projects and ensure all required documentation is attached
Vendor & Internal Coordination
Create, send, and track purchase orders
Follow up on order confirmations, delivery dates, and late shipments
Communicate with vendors regarding pricing, availability, and invoicing
Collaborate with internal teams to prioritize urgent orders and resolve discrepancies
Operational Support
Support quoting activities by entering BOMs and routing details
Monitor stock and consumable inventory items and flag shortages proactively
Maintain organized digital and physical records for compliance and traceability
Contribute to continuous improvement efforts focused on order accuracy and workflow efficiency
Customer & Order Flow Support (Over Time)
Take increasing ownership of order tracking and customer communication
Serve as a reliable point of contact to ensure smooth order fulfillment
Qualifications
2-4 years of experience in order management, operations coordination, or supply chain administration (manufacturing or distribution preferred)
ERP system experience preferred (e.g., Compass E2, SAP, NetSuite, Epicor)
Strong attention to detail and commitment to accuracy
Clear, professional written and verbal communication skills
Comfortable with task-driven work and data entry, especially early on
Proficient in Microsoft Outlook and basic Excel tracking
Proactive mindset; willing to ask questions and learn
Ability to manage multiple priorities while remaining team-oriented
