Fulfillment Associate - Document Management and Processing

Second Street Springfield, IL 62704 Hours: 8:00 a.m. - 5:00 p.m., Monday - Friday Key Tasks: Filing & Compliance Prepare, review, and submit Illinois corporate filings, including: Articles of Incorporation and Organization Amendments, mergers, conversions, and dissolutions Annual Reports and franchise tax filings Reinstatements and assumed name filings BCA 14.30, 5.10, 13.15, and related forms Ensure filings meet all statutory requirements and avoid rejections. Calculate Illinois franchise tax and penalties accurately. Monitor filing deadlines to maintain good standing for clients. Customer & Internal Support Provide consultative guidance on Illinois filing requirements, turnaround times, and compliance obligations. Communicate filing status, issues, and resolutions clearly and professionally. Collaborate with internal teams (Fulfillment, SOP, Customer Service, Research) to resolve complex filing scenarios. Quality & Process Management Maintain accurate documentation and records of all filings. Identify process improvements to reduce rejections and increase efficiency. Stay current on Illinois legislative and procedural changes affecting business filings. Assist with training new team members on Illinois processes and best practices. You're a Great Fit if You Have: 2+ years of experience in corporate filings, legal compliance, or a related field Strong understanding of Illinois corporate statutes and Secretary of State procedures (preferred) High school diploma required; associate or bachelor's degree a plus Excellent written and verbal communication skills Strong analytical and problem-solving abilities High attention to detail and accuracy Proficiency with Microsoft Office (Word, Excel, Outlook) and data-entry systems Ability to manage multiple deadlines in a fast-paced environment Willingness to work overtime during peak periods Experience with franchise tax calculations Familiarity with corporate service providers or legal support environments Ability to interpret state statutes and procedural guidelines Strong customer-service orientation The ability to work in the Springfield, IL office Monday - Friday.
