
Event Producer (3-month Contract)

Overview
AdHoc is seeking a bilingual, Los Angeles-based Event Producer to lead on‑ground production for a series of three World Cup watch party events. This role will oversee venue coordination, vendor management, production logistics, and onsite execution, ensuring seamless delivery from pre‑production through post‑event wrap.
Contract Start Date: April 20, 2026
Contract End Date: July 24, 2026
Event Dates: June 18, a TBD date July 9‑11, plus July 19, 2026.
Estimated Hours: ~15–20 hours per week on average, with flexibility for increased hours during peak production weeks and event execution.
Fee: $15,000 Flat Fee
Key Responsibilities
Attend weekly client‑facing production calls and internal production check‑ins.
Lead venue research, outreach, and booking process:
Present curated venue options with pricing
Negotiate and finalize venue contracts
Confirm all insurance requirements, permits, and licenses.
Assist with managing production timelines and check‑lists.
Coordinate event branding and local artwork (digital + signage).
Source and confirm all local vendors, including:
Security
Printing and fabrication
Oversee talent logistics, including:
DJ booking coordination
Talent advances (ADV creation and distribution)
Hire and coordinate content direction with content team.
Production Management
Lead advance process with venue and all vendors.
Run venue production meeting and align on run‑of‑show, logistics, and load‑in/out.
Develop and finalize security plans (in collaboration with agency and venue), staffing plans, and production documents (run of show, contact sheets, load‑in schedules).
Coordinate printing and fabrication timelines.
Order and track production supplies.
Event Execution
Oversee on‑site production and load‑in.
Manage event staff and vendors onsite.
Ensure proper coverage onsite by content team.
Ensure all elements are executed to plan:
A/V
Guest experience + flow
Troubleshoot in real‑time and maintain show quality.
Post‑Event & Wrap
Collect and submit final venue costs and vendor invoices.
Track and manage event inventory and staff payments.
Assist with reconciling event budgets.
Ensure content is delivered to client.
Requirements
Must be based in Los Angeles and available for in‑person venue visits, vendor meetings, and on‑site event execution.
Must be English and Spanish‑speaking.
5+ years experience producing live events, brand activations, and large‑scale social events.
Strong network of Los Angeles venues and vendors.
Proven ability to manage multiple stakeholders and timelines.
Detail‑oriented with strong organizational and communication skills.
Comfortable working both independently and within a larger production team.
Understands guest flow, crowd management, and experiential design.
Calm under pressure and solutions‑oriented. Strong on‑site leadership presence.
