Senior Assistant Property Manager (CRE)
Job Description Summary
Under the supervision of the Property Manager, the Senior Assistant Property Manager is responsible for assisting in all areas defined as part of the Property Manager job description. This is a management role that will directly and indirectly supervise building staff, operations, and coordinate various functions. Primary responsibilities include ensuring client facilities generate satisfactory cash flow, the property is maintained to client standards and requirements, and customer satisfaction is achieved.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Manage the building staff in the absence of the Property Manager or General Manager, including all managerial functions outlined in the Property Manager and General Manager job descriptions or as directed by the manager.
Handle all building correspondence to and from clients, tenants and vendors as directed by the Property Manager or General Manager.
Ensure all property files are prepared and maintained in an orderly and logical manner, including leases and contracts.
Obtain aging reports on behalf of the Property Manager or General Manager and follow up on all delinquencies, using C&W or client‑directed policies.
Ensure invoices are processed in accounting with appropriate backup and according to established procedures.
Prepare lease abstracts for all tenants and a monthly rent roll for management review.
Coordinate tenant move‑ins and move‑outs, including furniture delivery and pick‑up.
Coordinate tenant requests for above‑standard work, obtain estimates, provide proposals, release work, and invoice tenants for such work.
Oversee maintenance of work order and purchase order systems.
Responsible for aspects of development and maintenance of a comprehensive Tenant Service Package, including tenant handbooks, anniversaries, holiday gifts, park events, quarterly newsletters, and training programs, while ensuring tenant information in the database is current.
Update and maintain office procedures in the Property Operation’s Procedure Manual.
Ensure Certificates of Insurance for tenants and vendors are up to date.
Oversee the processing of management and maintenance staff hours, expense reports, and check requests for review and approval.
Ensure above‑standard tenant bill‑backs for electrical usage, after‑hours HVAC, and other similar charges are processed timely.
Responsible for aspects of annual budget preparation, CAM reconciliations, and monthly financial reports, including preparation of bank deposits when processed at the on‑site management office.
Lead regular inspections of properties with janitorial, landscape, and other service providers as directed by management.
Participate in performance oversight of all service contractors who perform contract services.
Oversee aspects of tenant improvement work with management oversight.

Additional Eligibility Qualifications

Basic understanding of the reconciliation process for CAM, insurance, and real‑estate taxes, and lease terms
Ability to assign tasks and manage others’ workloads
Work Environment This job operates in a professional office environment. It routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Regular travel outside between properties in varying weather conditions is required.
Physical Demands The physical demands described here are representative of those that must be met to successfully perform the essential functions of this job. The employee may need to travel from floor to floor, climb stairs, and travel outside between buildings in varying outdoor weather conditions. The employee may also be required to remain in a stationary position (sit or stand) for approximately 85% of the time and regularly operate office machinery.
