Assistant Property Manager (CRE) The Assistant Property Manager is responsible for assisting in all areas defined as part of the Sr. Assistant Property Manager job description, as well as performing property administrator duties when no administrator is assigned. The role requires a high level of professionalism and fostering positive relationships with tenants and clients.

Essential Functions and Responsibilities

Provide full administrative support, including phone support, typing, reports, filing and distribution of correspondence. Coordinate office supplies when a property administrator is not available.

Assist in lease administration activities, including abstracting leases and maintaining the database.

Ensure all property files are prepared and maintained in an orderly and logical manner, including leases and contracts.

Prepare and coordinate bid proposals and service contracts.

Obtain aging reports for management and follow up on delinquencies, utilizing C&W or client-directed policies.

Ensure invoices are processed in accounting with appropriate backup and according to established procedures.

Coordinate tenant move‑ins and move‑outs, including furniture delivery and pickup.

Oversee maintenance of work order and purchase order systems.

Develop and maintain a comprehensive Tenant Service Package, including tenant handbooks, anniversaries, holiday gifts, park events, quarterly newsletters, and training programs. Ensure tenant information within the database is current.

Update and maintain office procedures in the Property Operation’s Procedure Manual under the manager’s direction.

Ensure certificates of insurance for tenants and vendors are up to date.

Oversee the processing of management and maintenance staff hours, expense reports, and check requests for review and approval.

Process above‑standard tenant bill‑backs for electrical usage, after‑hours HVAC, and other similar charges in a timely manner.

Assist the supervisor with annual budget preparation, monthly financial reports, and preparation of bank deposits at the on‑site management office.

Lead regular inspections of properties with janitorial, landscaping, and other service providers as directed by the manager.

Participate in performance oversight of all service contractors who perform contract services.

High school diploma or GED equivalent; Bachelor’s Degree preferred.

Important Experience

At least 1 year of real estate property management or related experience.

Work Environment This job operates in a professional office environment. The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Travel outside between properties in varying weather conditions is regularly required.

Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Employees may need to stand and walk for extended or continuous periods, ascend and descend staircases, ladders, or step stoles, and travel outside between buildings in varying weather conditions. Regularly the employee may be required to remain in a stationary position (sit or stand) for 85% of the time and operate office machinery.
