Administrative Assistant - Director of Professional Doctoral Studies
JOB SUMMARY:
The Administrative Assistant will support the Doctoral Studies program directly through administrative service to the Director of Professional Doctoral Studies and service to students in the Doctor of Ministry and Doctor of Educational Ministry programs.
ESSENTIAL JOB FUNCTIONS: This team member will have the following essential job functions:
Serve as office receptionist, greeting guests and assisting students
Handle student correspondence by maintaining the office email and phone
Serve as administrative assistant for the Director of Professional Doctoral Studies
Oversee files and records for the respective programs in PDS
Prepare doctoral reports for faculty and trustees meetings
Distribute PDS letters of acceptance, withdrawal, etc.
Coordinate and input the annual PDS schedules
Plan PDS seminars and student events during on-campus seminar weeks
Support the Director of Professional Doctoral Studies with program development and recruitment of new students
Oversee travel, honoraria requests, etc., for guest speakers in the PDS program
Work with Academic Records and Accounting offices for PDS registration, payment schedules, etc.
Process all payments related to PDS such as seminar payments and doctoral supervision, etc.
Work with Hispanic office to serve students in Hispanic PDS programs
Performs other duties as may be assigned by supervisor
EDUCATION: The person in this position should have earned a bachelor’s degree.
EXPERIENCE: The person in this position should preferably have at least six months of experience in an administrative assistant position.
SUPERVISION: The person in this position will supervise no one.
The person in this position will report to the Vice President for Doctoral Studies and the Director of Professional Doctoral Studies.
WORK ENVIRONMENT: The person in this position will work in a team player environment, cooperating fully with seminary personnel.
EQUIPMENT: The person in this position will use the following equipment: computer, fax machine, printer. This person should be well versed in the use of Microsoft Office and Google Docs.
