
Senior Events Manager

Position Overview
As Senior Events Manager, you’ll own the end‑to‑end production of our virtual events portfolio—from strategic planning and program development through execution and post‑event reporting. You’ll be the operational backbone of every summit, webinar, CE/CME on‑demand Course, and CE/CME event we produce, managing timelines that begin 6+ months before an event and extend weeks or months after.
This role sits at the intersection of project management, educational programming, and client‑facing event delivery. You’ll coordinate across nearly every department—marketing, design, video production, client services, development, and operations—to ensure every event runs on time, on brand, and on budget. You’ll also manage an Events Coordinator and oversee independent contractors who support event execution.

Key Responsibilities Strategic Oversight
Evaluate and evolve event production workflows—identify bottlenecks, redundancies, or manual steps across the event lifecycle and recommend process improvements that increase quality or reduce effort
Define and maintain production standards—establish consistent quality benchmarks for platform builds, livestream execution, speaker coordination, and post‑event deliverables so the team isn’t reinventing the wheel each cycle
Assess and recommend production tooling and vendor relationships—evaluate whether current platforms, contractors, and tech stack are serving the team well or whether alternatives would improve reliability, cost, or scalability
Drive post‑mortem insights into structural changes—go beyond documenting what went wrong to actually redesign processes, templates, or accountability structures based on patterns across events
Event Production & Project Management
Own the master timeline and process accountability chart for every event—tracking 200+ tasks across multiple teams from kickoff through post‑mortem
Lead internal team kickoffs, pre‑event meetings, all‑hands, dry runs, and post‑mortem debriefs
Manage event budgets in coordination with the operations team; track actuals against projections
Build and maintain all event pages and landing pages in our custom event builder platform (registration, schedule, speakers, exhibit hall, clinical track, conference bag, CE/CME hub, raffle, FAQ, and post‑event pages)
Coordinate event platform setup, including navigation, footers, Stripe payment integration, magic link emails, pop‑ups, and player notifications
Manage event‑day operations: livestream coordination, real‑time troubleshooting, attendee support, and HubSpot syncing
Oversee post‑event landing page transitions, enduring content coordination, and event reporting
Educational Programming & CE/CME Coordination
Lead program chair relationships end‑to‑end: outreach, agreements, proposed agendas, meetings, moderator prep, and final instructions
Manage the full CE/CME workflow—speaker invitations, paperwork submissions, ARBO/COPE/VME approvals, pre/post‑test coordination, and credit‑claiming setup—in partnership with the Events Coordinator
Coordinate speaker selection, session format decisions (pre‑recorded vs. live), speaker information collection, and tech check scheduling
Oversee the creation of moderator event notes, agendas, slide deck templates, and presentation instructions for program chairs
Manage polling question coordination across CE speakers, internal teams, and more
Speaker & Faculty Management
Own speaker coordination for all internal events—from initial selection through post‑event publication hand‑off
Manage speaker timelines, including credential collection, headshots, calendar holds, PIP (partners in promotion) asset distribution, and final reminders
Coordinate with the operations team on speaker contracts, payments, and program chair agreements
Manage sponsor speaker coordination in partnership with client services, including symposium scheduling and opening/closing remarks
Cross‑Functional Coordination & Client Interface
Serve as the central hub connecting marketing, design, video production, client services, development, and operations for every event
Partner with the marketing team on event promotion: registration email workflows, LinkedIn event pages, email signature updates, PIP assets, and abandoned cart sequences
Coordinate with client services on sponsor deliverables: booth builds, banner ads, brand safety guidelines, courtesy reviews, and post‑event enduring content
Work with the video/livestream team on pre‑recordings, run of show, transition scenes, lower thirds, Streaming Software setup, and Zoom link management
Coordinate conference bag content, raffle prize management, and attendee engagement features
Provide creative and copy direction for event spec documents, registration landing pages, and event feature slides
Business Development & Strategy Support
Support event business development by creating exhibitor prospectuses, event feature decks, and commercial reels in partnership with sales leadership
Create and maintain the Source of Truth document for each event, building out the event run of show and tracking all sponsors, sessions, deliverables, and key dates
Contribute to event portfolio strategy: what events to run, reposition, or sunset based on audience data and sponsor‑market realities
Build and refine repeatable event playbooks and process accountability frameworks that allow the team to scale
Team Leadership
Manage and develop Events Coordinators, providing day‑to‑day direction, feedback, and career development support
Oversee independent contractors supporting event execution (booth building, CE paperwork, reporting, platform setup)
Ensure clear task ownership and accountability across the events team and cross‑functional partners

Required Qualifications
4+ years of experience in digital/virtual event management
Proven track record managing complex, multi‑stakeholder projects with 100+ task timelines
Experience managing direct reports and/or contractors
Strong project management skills with experience in tools like ClickUp or similar platforms
Excellent written and verbal communication skills with a keen attention to detail
Experience coordinating across multiple departments (marketing, design, production, sales, operations) to deliver events on time and on budget
Comfort working in a fast‑paced, remote‑first environment with the ability to manage competing priorities
Experience with CMS platforms for event page building and management
Proficiency with Zoom, Google Suite, Slack, and collaborative digital tools
Accept AI in department workflows and embrace LLMs for efficiencies
Preferred Qualifications
Experience in healthcare, eyecare, or medical education events
Familiarity with CE/CME accreditation processes (COPE, ARBO, VME) and continuing education workflows
Experience with virtual event platforms (Sanity, Cvent, Hopin, GoToWebinar, or similar)
Experience with HubSpot for registration management, email workflows, and attendee tracking
Experience managing program chairs, KOLs, or faculty for educational programming
Background in B2B or sponsored event environments where sponsor deliverables and client satisfaction are critical
Experience with event reporting, analytics, and using data to improve future events (LookerStudio, Parse.ly, or similar)
