The Fountain Group is currently seeking an Order Processing Specialist for a prominent client Medical Diagnostics client of ours. This position is located in Torrance, CA. This is an onsite position, during normal business hours, Monday - Friday.

Job Description

Responsible for providing the highest quality of customer service to internal and external customers. This includes responding to customer inquiries via e‑mail, telephone calls and live chat, entering orders, entering and processing return authorizations, processing change requests, maintaining the customer master file and escalating customer/system issues appropriately and completing other administrative support tasks.

Qualifications

Proven experience in customer service.
Experience using a CRM (i.e. Salesforce).
Experience using an ERP system (NetSuite, SAP ERP, MS Dynamics 365, Oracle ERP, etc.)
High School Diploma/GED

This role is responsible for entering customer purchase orders into the company ERP system, maintaining order documentation, and processing vendor invoices and payments. The ideal candidate will be organized, dependable, and comfortable working with multiple departments to ensure accurate order tracking and customer support.

Essential Duties and Responsibilities

Customer Service & Administrative Support\nEnter customer purchase orders into the

Intuitive ERP system

accurately and in a timely manner.\nCreate job folders and enter new part information into Intuitive upon receipt of new orders.\nMaintain entries in the contract review log to initiate the manufacturing/contract review process.\nUpdate existing orders in Intuitive and on internal logs based on customer changes or updates.\nProvide ASN's (Advanced Shipping Notices) or Shipment Performance Reports when required.\nAssist the Business Unit Manager with special customer requests as needed.\nInitiate Customer Quality Alerts when complaints arise and update the NCMR log accordingly.\nAssist the Planning department with creating shop packets and work orders for production.\nTrack the status of orders across departments as requested.\nProvide and verify proof of deliveries.\nMonitor and maintain customer portals and provide updates to the Business Unit Manager and Planner.\nResearch and resolve customer inquiries using the ERP system and communicate findings.\nUpdate and maintain internal logs, scorecards, past-due reports, and open order reports.\nInvestigate billing issues and provide updates to the Business Unit Manager.\nIdentify and report noticeable trends, issues, or changes impacting orders or customers.\nUpdate monthly order tracking and reporting as required.\nGeneral Office Duties

Provide backup support to the receptionist, including answering phones during breaks and lunches.\nMaintain confidentiality when handling sensitive customer and company information.\nAssist with Continuous Improvement initiatives within the department.\nRecognize and escalate concerns or issues to leadership when appropriate.\nPerform other duties as assigned.\nMinimum Qualifications

Education:\nHigh School Diploma or equivalent required.

Experience:\n2-5 years of clerical, administrative, or customer service experience preferred.
