POSITION OVERVIEW

The Account Manager, Charter Planning & CRM Management is responsible for managing the full lifecycle of charter clients from contract execution through travel, while also owning the integrity, functionality, and reporting of the HubSpot CRM platform.

This role serves as a key coordinator between the Sales team member who secures the business and the shipboard program implementor, ensuring that client expectations are clearly translated into operational execution.

While not directly responsible for lead generation, this role ensures that all client, deal, and operational data is accurately captured, maintained, and actionable across the organization.

CORE RESPONSIBILITIES

1. Charter Lifecycle Management

·      Manage charter clients from contract through sailing completion

·      Serve as primary client contact post-sale

·      Ensure seamless transition from Sales to shipboard execution

 

2. Client Planning & Program Development

·      Develop detailed itineraries and onboard programming

·      Align client expectations with operational capabilities

 

3. Reservations & Manifest Oversight

·      Manage guest data collection and validation

·      Ensure accuracy of manifests and documentation

 

4. Event Orders & Operational Documentation

·      Create detailed Event Orders for shipboard teams

·      Ensure timely distribution of all planning materials

 

5. HubSpot CRM Ownership

·      Maintain CRM data integrity and pipeline visibility

·      Ensure all deals, contacts, and milestones are accurate

 

6. Reporting & Visibility

·      Provide reporting on active charters and timelines

·      Ensure leadership visibility into client status

 

7. Cross-Functional Coordination

·      Coordinate between Sales, Operations, and shipboard teams

·      Act as bridge between commercial and operational execution

 

8. Process Improvement

·      Enhance workflows across planning and CRM systems


QUALIFICATIONS

·      3–7+ years in account management, travel, or hospitality

·      Experience with CRM systems (HubSpot preferred)

·      Strong organizational and communication skills

·      Experience with group travel or charter logistics preferred
