
Personal Assistant

The Personal Assistant (PA) provides high-level administrative and organizational support to the Vice President of a medical manufacturing company. This role requires exceptional discretion, attention to detail, and the ability to manage complex schedules and priorities in a fast-paced, regulated environment.
Key Responsibilities:
Manage the VP’s calendar, meetings, and travel arrangements
Prepare agendas, reports, presentations, and correspondence
Screen calls, emails, and requests, prioritizing urgent matters
Act as a liaison between the VP and internal teams, clients, and external partners
Coordinate cross-functional meetings (e.g., production, quality, regulatory teams)
Follow up on action items and ensure deadlines are met
Maintain confidential files and records
Handle expense reports, invoices, and budgeting support
Organize events, site visits, and executive meetings
Assist with documentation related to regulatory compliance (e.g., FDA, ISO standards)
Support preparation for audits and inspections
Prepare status reports and dashboards
Assist in process improvements and workflow organization
Qualifications:
Bachelor’s degree in Business Administration or related field (preferred)
3–5+ years of experience supporting senior executives (experience in healthcare or manufacturing is a plus)
Strong organizational and multitasking skills
Proficiency in Microsoft Office (Excel, PowerPoint, Outlook)
Ability to handle sensitive information with discretion
Compensation: $70,000-75,000
Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications.
