Own the family's calendar end-to-end
scheduling, coordinating across multiple people, and staying three steps ahead of what's coming Plan and execute travel from start to finish, including research, bookings, itineraries, and on-the-ground logistics Manage vendor and service provider relationships with full accountability for outcomes Handle appointments, errands, gifting, and day-to-day personal needs with discretion and efficiency Assess existing household systems and build where there are gaps
this family wants infrastructure, not improvisation Create and maintain shared trackers and documentation the family can reference at any time without having to ask for an update Manage seasonal transitions, maintenance schedules, and vendor histories with consistency and attention to detail Anticipate needs before they surface and put proactive systems in place to address them Qualifications
Minimum 5 years of experience as an Executive or Personal Assistant, ideally in a private household or comparable high-touch environment Proven ability to build systems and documentation from scratch, not just maintain existing ones Strong proficiency with digital tools
task management platforms, shared calendars, and collaborative documents Excellent professional references required Must be local to the Bay Area Must be legally authorized to work in the United States Valid driver's license and clean driving record required Must be willing to undergo a thorough background investigation Non-smoker; COVID and flu vaccinations required annually
