The Brody School of Medicine (BSOM) at East Carolina University, the fourth oldest medical school in North Carolina, was chartered to improve the health and well‑being of the region and to train physicians who will meet the healthcare needs of the state. The Admissions Office oversees and administers the admissions program for the School of Medicine, recruiting capable medical students who will become physicians serving North Carolina and beyond. A special effort is made to recruit students committed to serving rural and underserved communities.
Salary:
$77,000 – $80,000 (subject to budget and candidate qualifications)
Job Duties Recruitment (20%)
Develops goals, plans, and implements recruitment strategies and evaluates the recruitment program for the Doctor of Medicine at BSOM.
Leads all recruiting activities, ensuring outcomes are achieved, particularly with respect to enrolling students from varied geographical and economic groups.
Creates targeted recruitment materials.
Represents BSOM at institutions and programs across North Carolina.
Develops on‑site, BSOM‑specific recruitment programs for prospective medical school applicants.
Informs Undergraduate Pre‑Med Advisors of BSOM admissions requirements.
Operations (40%)
Directs all aspects of admissions operations, including interface with AMCAS, internal and national software programs for managing admissions data and application fees, UNC System Residency Determinations Services, and Certiphi for background checks.
Supervises, trains, evaluates, and delegates responsibilities to support staff in day‑to‑day admissions operations.
Conducts final review of applications before they are sent for faculty review.
Makes determinations regarding completion of prerequisite coursework and verifies NC residency in consultation with UNC System Residency Determinations Services.
Schedules admissions committee meetings, assigns faculty interviewers, and provides training for new committee members.
Develops interview schedule and supervises scheduling of applicant interviews, directing interview day activities.
Analyzes admissions data, prepares reports for the admissions committee, dean, university, and external stakeholders, and identifies students for recruitment scholarships.
Develops ongoing training programs for admissions committee members.
Benchmarks admissions operations, compares with peer institutions, and implements program modifications to enhance BSOM admissions procedures.
Works collaboratively with the Department of Academic Affairs and the BSOM dean’s office to achieve enrollment goals.
Collaborates with the Administrator for Academic Affairs to develop and manage the recruitment and admissions operating budget.
Evaluates and provides professional development opportunities for admissions staff.
Collaborates with financial aid, marketing, and other areas to disseminate information and admissions materials accurately and timely.
Participates in professional development relevant to the position.
Performs other duties as assigned.
Communication (15%)
Manages all interactions and communications with internal and external stakeholders, including the dean’s office, pre‑med students, applicants, pre‑health advisors, and enrolled students.
Guides support staff in responding to prospective student inquiries regarding admissions requirements and professional opportunities.
Authorizes exceptions to standard operating procedures when appropriate and counsels unsuccessful applicants on future admission plans.
Job Knowledge (15%)
Possesses broad knowledge of medical education, the BSOM curriculum, and challenges faced by medical students.
Understands pre‑med course requirements and feeder‑institution nuances, is familiar with the MCAT and preparatory resources.
Fully understands all AMCAS processes and uses digital technology to innovate admissions operations.
Reporting (5%)
Prepares internal reports for the associate dean and collaborates on submission of reports to agencies such as AAMC, SACS, IPAR, and SEM.
Compliance (5%)
Ensures admissions operations comply with federal, state, and institutional regulations and accreditation standards (FERPA, ADA, HIPAA, LCME, AAMC).
Qualifications
Master’s degree in a related field with at least two years of leadership experience in recruitment and/or admissions; or a bachelor’s degree with four years of leadership experience in recruitment and/or admissions.
Approval to work in the United States on a full‑time basis.
Strong written and verbal communication skills.
Ability to lead a diverse team and collaborate across departments.
Preferred Experience, Skills, Training/Education
Demonstrated experience in medical or health professions education settings, preferably in a medical school or professional school.
Experience in admissions or student affairs.
