Position Summary Provides administrative support to a few VP, Global Program Leads for Neuropsychiatry and Neuroscience. Performs highly diverse administrative and project‑focused duties, which by nature of the position may involve high level contacts and exposure to confidential material necessitating the use of tact, diplomacy, discretion and judgment. The candidate must have proven skills in prioritizing and multi‑tasking, as well as the ability to remain poised and focused in a fast‑paced working environment.

Key Responsibilities

Demonstrate strong interpersonal skills and diplomacy in all levels of management.

Work with minimal supervision, have strong initiative, organizational skills and commitment to follow‑up with focus on details.

Calendar, email and phone management as well as timely scheduling to ensure meetings are prioritized and occur within appropriate timelines.

Perform diverse administrative duties in support of Neuroscience Global Program Leads including heavy calendar management, accountability for Global Program Team (GPT) meetings, GPT distribution lists and GPT SharePoint access. Coordinate scheduling (internal and external), arrange video/tele‑conferences as necessary, make travel arrangements (domestic and international), process expense reports and complete independent project work.

Prioritize activities and take prompt action based on an understanding of departmental objectives and business needs.

Adhere to T&E (travel and expenses) policies and knowledge of BMS policies to ensure compliance.

Ensure manager’s preparedness for meetings (e.g., assemble meeting agendas, assist with presentations).

Maintain professional and technical knowledge by remaining current with BMS continuous learning modules.

Proactively manage high‑profile internal & external events.

Act as a positive, proactive team player with ability to build relationships across the HOCT group and with key stakeholders across the organization. Flexibility to provide backup support for other administrative assistants within the group/department as needed.

Qualifications & Experience

High School diploma, some college or degree desirable.

10+ years administrative or comparable experience; prior BMS and Executive Associate experience preferred.

Proficient with Microsoft Suite (Outlook, Word, Excel, PowerPoint). Knowledge of BMS systems and processes strongly preferred.

Experience with Concur Travel & T&E, Ariba/SAP, SharePoint, eSetup, Workday, Room Scheduler strongly desired.

Strong organizational skills, attention to detail, follow‑up and balance of priorities and resources.

Positive attitude, high productivity, adaptability to change and willingness to learn new tools and systems.

Demonstrates ability to prioritize, work independently and collaboratively with other administrative assistants/external partners, across organizational levels, functions, and support business needs across different time zones and heavy workloads.

Ability to multi‑task and adapt quickly to competing priorities while remaining focused.

Ability to work effectively under pressure to meet deadlines.

Exhibits a positive work attitude and high productivity.

Proven track record of collaboration with other administrative assistants to ensure business needs/goals are met.

Compensation Overview Cambridge Crossing $82,090 – $99,477 Princeton – NJ – US $74,630 – $90,434 Additional incentive cash and stock opportunities (based on eligibility) may be available.
