Director of Events Management and Conference Services

Salary Range: $90,000.00 - $105,000.00 Salary

Position Type: Staff - Full Time

Description: The Director will focus on building capacity for the Events Management Office. The Director will have a special focus on large internal events such as Commencement, Family Weekend (convocation/fall fest), and Reunion. The Director will work with the Events and Conference Services Manager to improve systems to enhance the client experience and to grow revenue. This position requires some night/early morning and weekend hours to ensure proper event preparation, attendee experience, and post-event logistics.

Essential Duties and Responsibilities

  • Leads and encourages collaborative working relationships with other campus offices and departments in support of the logistics, services and details related to events.
  • Oversight of departmental budget, including strategic planning around investments to improve EMO services. Evaluate rental rates and associated fees on a regular basis to determine if Dominican is competitive. Oversees all contract negotiations.
  • Oversight of marketing efforts for the department, working with both Advancement and Marketing. This includes paid advertising, updating website(s), social media strategy, and internal outreach to the University community.
  • Manages the working relationships with both internal and external stakeholders including Facilities Services, Information and Technology Services, Residence Life, the on-campus food services/catering and custodial contractors, audio/visual technology support contractor, Campus Security, and other necessary entities to ensure events receive the appropriate support services that ensure clients and guests have a safe and enjoyable experience.
  • Supervises Events Manager and student workers.
  • Manages a portfolio of off-campus group renters from the initial inquiry stage through contracting, planning, performing pre-event logistics, and serving as the onsite event "house manager".
  • Project leader for planning, coordinating, and executing key University events in partnership with all stakeholders, these include but are not limited to Commencement, Family Weekend (convocation/fall fest), and Reunion. This position serves as Chair of related committees, convening cross-functional teams to manage the planning and execution of these highly visible and significant University events.
  • Review pre- and post-event analysis from Events Manager, student workers, and clients to attain and maintain the highest level of service for both internal and external clients.
  • Work with Events Manager to make sure events guidelines (including those in the Events Management Plan established by the City of San Rafael) are clearly articulated and communicated to all constituents.
  • Perform other duties as assigned.

Required Qualifications

  • Bachelor's degree from four‑year college or university.
  • Substantial and progressively responsible experience in, and knowledge of, planning, production, and management of events.
  • Ability to manage complex budgets.
  • Strong employee customer service orientation with excellent interpersonal skills, including the ability to mediate challenging situations.
  • Excellent written and verbal communication skills.
  • Excellent time management skills; able to coordinate multiple projects and assignments simultaneously independent of direction and supervision.
  • Must be professional, diplomatic and be able to serve a variety of constituents with equity, fairness, and diplomacy.
  • Experience in employee management required and experience with student workers.
  • Proficient in Microsoft Office Suite, or relevant software; digital skills that will permit rapid learning curve on ticketing, calendaring, and project management software.
  • Detail oriented.
  • Current driver's license and satisfactory driving record required and must be maintained.
