Global Legal & Compliance is seeking a highly qualified Senior Executive Assistant to join the Legal Support Solutions team. The role centers on day‑to‑day coordination to maximize executive effectiveness, supporting the

Deputy General Counsel of Enterprise Legal

and members of the

Enterprise Legal leadership team . The assistant will exercise sound judgment and discretion while managing executive calendars, preparing concise meeting materials, coordinating complex travel and logistics, and handling high‑priority administrative responsibilities.

Boston is the preferred location; candidates outside the area who meet the qualifications are encouraged to apply. Candidates who live within 50 miles of Boston, MA, will follow a hybrid schedule, coming into the office two days per week.

Responsibilities

Demonstrate proficiency with approved AI and productivity tools (e.g., LibertyGPT and other enterprise‑sanctioned platforms) to draft communications, summarize documents, conduct research, and streamline executive workflows while maintaining confidentiality and compliance.

Identify each executive’s preferred working style and support methods; adapt approach to maximize their effectiveness and maintain clear, consistent communication.

Manage executive calendars strategically, acting as a gatekeeper to prioritize meetings, resolve scheduling conflicts, protect focus time, and keep leaders informed of changes.

Balance and manage conflicting priorities and competing stakeholder demand, escalating issues and proposing practical solutions when appropriate.

Prepare executives for meetings by creating concise materials, setting agendas, collecting and distributing pre‑reads, and, when required, attending meetings and liaising with external partners.

Coordinate complex travel arrangements and itineraries (transportation, lodging, agendas), handle changes efficiently, and process related expenses.

Produce and edit documents, presentations, spreadsheets, and correspondence (PowerPoint, Excel, Word, Adobe, etc.), ensuring accuracy, consistent formatting, and clarity of content.

Organize and maintain records and collaboration spaces (MS Teams, SharePoint), support the company records‑retention schedule, and enable easy retrieval of information.

Plan and support team events and meetings—virtual and in‑person—including staff meetings, town halls, quarterly off‑sites, and other gatherings.

Support process and program administration: maintain distribution lists, coordinate nominations, administer surveys, conduct targeted research, gather resources, and prepare required documentation.

Stay current on new tools and technologies that enhance executive productivity, communicate useful functionality to stakeholders, and assist with basic troubleshooting and onboarding.

Apply strong organizational, time‑management, and attention‑to‑detail skills; anticipate needs, be resourceful and proactive, and deliver high‑quality results with minimal direction.

Maintain the highest level of professionalism and discretion in handling confidential information; navigate complex interpersonal situations with diplomacy and tact.

Qualifications

Solid knowledge of administrative procedures, software applications (Microsoft Office Word, Excel, PowerPoint, Teams, Adobe Acrobat, etc.), records management systems, and other business procedures and terminology.

Excellent organizational skills, time‑management skills, and attention to detail, including anticipating needs and being resourceful and proactive.

Displays high degree of professionalism in maintaining confidential information with discretion, dealing with people tactfully, and establishing strong relationships and positive communication.

Strong ability to read complex settings and respond to challenging people or circumstances with diplomacy and tact.

Competencies acquired through a degree (or equivalent) and 6 to 8 years of relevant, progressively responsible administrative experience, including prior support at the management level.
