About the Opportunity
SWCA Environmental Consultants’ San Luis Obispo, CA office seeks an Administrative Support Professional (HR Title – Administrative Specialist). This full‑time, hourly position requires independent work with strong attention to detail, excellent time‑management, and the ability to multitask.
Reporting to the Operations Administrator for the Northern/Central California sub‑region, duties include administrative and logistical tasks that support the office’s environmental services.
What You Will Accomplish
Reconcile invoices for utilities and recurring services, ensuring accurate billing and timely payment.
Support new hire onboarding and coordinate equipment return for terminated employees; liaise with Human Resources.
Provide regional field logistics and travel support:
Prepare and maintain field equipment and gear, responding promptly to logistics requests.
Purchase field gear, manage GPS account, update software, track inventory.
Manage and schedule office fleet vehicles, including long‑term rentals, maintenance and repairs.
Work closely with project managers on proposal and administrative support.
Procure Certificates of Insurance (COI).
Coordinate purchase and distribution of computer equipment; maintain IT inventory and ensure servicing.
Purchase office supplies, manage P‑Card reconciliations, process technology allowance requests, and coordinate office events.
Draft agendas, employee spotlights, new hire checklists, and assist with proofreading transmittals.
Assist field staff with scheduling and travel arrangements, ensuring accurate itineraries and receipts.
Manage office safety and compliance as Office Safety Representative; support overall safety initiatives.
Act as local office champion for sustainability, SWCA Gives Back, and office engagement.
Provide front desk support, manage shipping, mail, employee contact lists, client and employee gifts, and welcome visitors.
Cultivate a positive, inclusive workplace culture reflecting SWCA values and promote employee engagement.
Collaborate with team to achieve office sustainability goals and participate in community initiatives.
Perform related work as assigned.
Experience and Qualifications Required Qualifications
High school diploma or GED.
At least one year of related experience.
Active driver’s license for errands (may use office vehicles).
Proficiency with MS Office (Word, Excel, Teams, PowerPoint).
Preferred Qualifications
Experience with Zoom or MS Teams video meeting platforms or strong willingness to learn.
Benefits Hourly rate $22.87–$29.49 per hour, commensurate with experience. Includes performance bonuses, an employee stock ownership plan (ESOP), medical, dental, vision, and other benefits.
