Job Description
Our client, a rapidly growing oil, fuel, and HVAC company located in Oakdale, NY, is looking for a Director of Finance to join their family‑run organization. The role will work closely with the Fractional CFO, as well as the President/CEO.
Salary: $125,000 – $125,000
Reports to: Owner/President (with a dotted line to the Fractional CFO)
Location: Oakdale, NY, with periodic travel to other company sites
Employment type: Full‑time, exempt
Key Responsibilities
Financial Planning & Analysis
- Conduct detailed variance analyses to identify trends and root causes
- Track and assess key financial ratios and ensure compliance with loan covenants
- Develop scenario and sensitivity models to support strategic decisions
- Lead the company’s annual budget process from planning through final approval
- Maintain and regularly update a rolling 13‑week cash flow forecast
Reporting & Dashboard Development
- Prepare weekly financial "pulse" updates on cash flow, A/R and A/P, margins, and performance metrics
- Design and update KPI dashboards reflecting both financial and operational indicators
- Produce monthly reporting packages including P&L statements, balance sheets, and cash flow analysis
- Create visual representations of financial performance for management review
- Develop materials for quarterly business reviews
Acquisition Analysis & Integration
Integration Activities
- Track revenue and volume activity for newly acquired accounts
- Measure customer retention by segment (e.g., COD vs. full‑service)
- Monitor and evaluate margin performance by customer category
- Identify potential cost synergies and areas for integration efficiency
- Maintain an integration issues log with status tracking and resolution follow‑up
- Compare and analyze results of acquired businesses versus legacy operations
- Support pricing optimization initiatives through data‑driven analysis
Strategic Evaluation
- Analyze profitability across all divisions and product lines
- Evaluate pricing methodologies and competitive positioning
- Support analysis of investment and expansion opportunities
Operational Financial Management
Margin & Profitability Oversight
- Monitor margins for heating oil, diesel, service contracts, installations, and repairs
- Track fuel margin trends daily and weekly; elevate significant fluctuations to leadership
- Review profitability by service type and recommend adjustments as needed
- Manage monthly vendor bid process for service materials and purchases
- Strengthen inventory control systems and lead reconciliation processes
- Review the performance of diesel programs and resolve accounting discrepancies
Expense & Cost Control
- Conduct monthly department expense reviews to identify cost savings opportunities
- Benchmark spending levels against industry norms
- Provide analysis for capital project planning and ROI assessments
- Review vendor contracts and payment processing fees for optimization
Compliance & Financial Reporting
Regulatory and Tax Requirements
- Prepare and file all required sales tax, petroleum business tax (PBT), and excise tax filings (e.g., IRS Form 720, MT‑903)
- Manage insurance audits (workers’ compensation, general liability, etc.)
- Maintain proper records for compliance and audit purposes
Banking & Insurance Support
- Prepare documentation and reports for banking relationships and covenant compliance
- Coordinate insurance renewals and policy reviews (health, liability, workers’ comp)
- Assist in managing hedging contracts for capped and fixed‑price customer programs
Collaboration & Communication
Cross‑Functional Partnership
- Conduct regular coordination meetings with the Fractional CFO
- Work side by side with operational leaders to interpret financial drivers
- Present financial data and recommendations in accessible, actionable ways
- Partner with the VP of Operations on financially informed decision‑making
- Liaise with external accountants for year‑end and tax filing activities
- Participate actively in management team discussions and long‑term planning
Job Requirements
Education & Certifications
- Bachelor’s Degree in Accounting, Finance, or related discipline (required)
- CPA, CMA, or MBA (strongly preferred)
- 7–12 years of progressive financial management experience
- Industry experience in energy, distribution, or service‑based businesses preferred
Technical Proficiency
- Expert‑level Excel knowledge (pivot tables, advanced formulas, data visualization)
- Skilled in QuickBooks and related accounting platforms
- Strong analytical modeling and forecasting experience
- Familiarity with dashboard and reporting technologies
- Experience maintaining compliance with tax and regulatory standards
