Job Goal The Campus Student Recruitment and Retention Specialist (CSRRS) is campus level responsible staff for all student marketing and recruitment programs including application, registration and enrollment of new students, re-enrollment and retention of current students and all related events and activities. Each HPS campus will be assigned annual targets and the CSRRS’ measure of success will be evaluated based on these targets’ completion rates.

Student Application Target: CSRRS is responsible for actively working during and after the Apply Harmony Festival to achieve the campus annual application target.

Student Registration Target: CSRRS is responsible for actively working during and after the Registration Race to achieve the campus annual registration target.

Registration Verification Target: CSRRS is responsible for actively working during summer to reach all new and re-enrolled parents to verify their registration.

Student Enrollment Target: CSRRS is responsible for ensuring the campus’ first FSP enrollment meets or exceeds the campus annual enrollment target.

Student Re-Enrollment Target: CSRRS is responsible for actively working during the Re-Enrollment time to achieve the campus annual re-enrollment target.

Enrollment Maintenance Target: CSRRS is responsible for maintaining campus enrollment numbers on or above the campus enrollment target by enrolling new students from the waiting list as soon as a withdrawal occurs; filling available spots is mandated by HPS procedures and will be monitored by the Central Office.

Student Retention Target: CSRRS is responsible for conducting exit surveys for all withdrawn students’ parents and entering the data to the tracking document.

In addition, the CSRRS will be responsible for maintaining student records at the campus level based on HPS record management policies and procedures.

Position Qualifications

High School Diploma or GED

Minimum 2 years of experience in school operations (preferred)

Duties and Responsibilities

Understands and supports the mission, vision and values of Harmony Public Schools.

Complies with and supports school and division regulations and policies.

Handles a variety of routine technical and administrative assignments.

Operates standard office equipment, including word-processing, data processing equipment, copiers, laminators, etc.

Reviews newly enrolled students’ documents to identify SPED/Section 504/dyslexia/ESL/GT information and adds the related students to suspect lists for related programs.

Keeps track of newly enrolled students until they are properly oriented (ensures checklist is complete).

Keeps track of withdrawing students, ensures all exit procedures are followed, enrolls new students to fill available spots, and maintains the campus enrollment number on or above the target.

Registers and maintains data for new and current students/withdraw students in the database with withdrawal reasons and necessary documentation.

Responds to TRex requests and initiates TRex requests for newly enrolled students.

Works in collaboration with ESL/Special Ed and GT departments to request newly enrolled student records and send records for withdrawal students.

Files incoming records from other schools and passes the records to related departments, including ESL/Special Ed/GT departments.

Responds to faxed record requests and initiates fax requests for newly enrolled students.

Calls previous schools to request records for newly enrolled students.

Keeps soft copy of all files in student folders.

Maintains and respects confidentiality of student and school personnel information.

Maintains physical and computerized records, including student cumulative folders, progress and failure reports, class rosters, schedule changes, and grade books.

Coordinates printing and distribution of report cards.

Assists counselors with the enrollment, withdrawals, and transfer of students and processes applicable records.

Processes and transmits requests for student information, including student transcripts for colleges and universities.

Assists campus administration and counselors with the preparation of reports and student data information.

Takes all necessary and reasonable precautions to protect students, equipment, materials, and facilities.

Performs related tasks as assigned by building administrator(s) in accordance with the school/policies and practices.

Checks and reviews data for accuracy, completeness, and conformance to established standards and procedures.

Models non-discriminatory practices in all activities.

Communicates with school and district leaders for enrollment projections as well as enrollment, recruitment, and retention efforts, and develops plans to reach the school targets.

Processes applications on a daily basis.

Utilizes campus social media for recruitment and retention.

Participates in recruitment events and activities to meet application targets.

Attends community events for recruitment and organizes open houses, school tours (Student led/Staff led), parent nights, and recruitment fairs.

Manages local marketing efforts for the school, including visits to local businesses, neighborhoods, and Harmony partners.

Maintains constant communication with families until all required documents are obtained, registration form is approved, and the student is registered.

Manages engagement efforts with prospective parents and students.

Communicates with parents actively and timely to complete the re-enrollment form.

Utilizes a tracking system to organize re-enrollment of students.

Organizes and announces school-wide incentives to increase the percentage of re-enrolled students.

Organizes student referral incentives for parents.

Contacts current and new families twice during the summer to verify enrollment for the upcoming school year.

Contacts and follows up with leads from paid digital ads.

Attends all training and meetings provided by both Central & District Offices.

Performs other duties as assigned.

Skills and Abilities

Ability to communicate effectively in both written and oral forms with all levels of management, both internal and external to the district.

Ability to establish and maintain effective working relationships internally and externally to the district.

Ability to use computers, including software and databases used by the district, spreadsheets and word-processing software, calculator, copier, and telephone.

Ability to analyze data and generate reports.

Ability to use effective interview techniques, public speaking skills, and problem‑solving skills.

Work Environment and Physical Requirements

Light work: may require occasional light lifting.

Nights and weekend activities will be occasionally required.

Position is in an office setting and may involve prolonged work at a desk in one location.

Moderate travel is required.
