The Impact You’ll Make in this Role The Trade Show & Events Specialist (Marketing Operations / Events) owns end-to-end event operations and logistics for the Health Information Systems (HIS) event portfolio, including Tier 1–3 trade shows, regional conferences, partner events, and state shows. This role translates event strategy into flawless execution by managing booth assets and inventory, shipping/freight and labor, exhibitor services, promotional materials, and onsite readiness to deliver consistent, on-time, on-budget experiences.
Responsibilities
Lead end‑to‑end logistics and operational execution for all event types, ensuring seamless delivery across all tiers and locations.
Implement event logistics processes such as booth asset management, inventory, storage, freight coordination, shipping, labor orders, exhibitor kits, installation and dismantle, giveaways, and onsite operational readiness.
Determine vendor coordination strategies by managing day‑to‑day relationships with booth vendors, freight partners, and promotional suppliers, ensuring adherence to timelines, budgets, and brand standards while escalating risks as needed.
Support sales and event stakeholders by coordinating meeting rooms, demo logistics, staffing readiness, and maintaining event calendars and schedules to ensure smooth onsite execution.
Support compliance, budget tracking, and event closeout by ensuring adherence to legal and ethical requirements, managing spend and invoices in partnership with finance, and overseeing post‑event reconciliation, returns, and debrief contributions.
Demonstrate willingness to be on‑call as needed to support event execution and operational continuity.
Qualifications
Bachelor’s degree or higher in Marketing, Communications, Event Management, Business, or a related field.
5+ years of experience in trade shows, events, or field marketing operations with ownership of logistics in private, public, government, or military environments.
Experience working cross‑functionally with sales, marketing, vendors, finance, and compliance teams, with strong organizational, project management, and execution skills.
Willingness to travel as required for events.
Additional qualifications that could help include experience supporting large, complex, multi‑day events with significant operational requirements, familiarity with event management tools, project tracking systems, and budget tracking, healthcare, technology, or B2B marketing experience, comfort operating within structured governance, compliance, and approval frameworks, and proven ability to manage multiple events simultaneously in fast‑moving environments.

Compensation & Benefits Estimated salary range: $83,600 – $114,950 (includes base pay plus variable incentive pay, if eligible).
