Job Description The Foundation Database Administrator is a clerical role responsible for the accurate maintenance, oversight, and reporting of the Foundation’s donor database. This position ensures the integrity of all donor records, supervises daily contribution processing, produces analytical and operational reports, and supports fundraising, marketing, and communication initiatives through data management and prospect tracking. The role works closely with Program Managers to support donor cultivation and solicitation activities and ensure fundraising schedules are met.
Essential Duties and Responsibilities Maintain the donor database by ensuring accuracy of all additions, changes, and deletions to donor records in accordance with established data integrity standards.
Monitor data quality regularly and identify, research, and resolve discrepancies in a timely manner.
Supervise daily data input, edits, and postings of all gifts and contributions to ensure completeness and accuracy.
Ensure contributions are accurately recorded, coded, and posted according to established policies and procedures.
Coordinate with finance or accounting staff to reconcile contribution records and resolve variances as needed.
Produce analytical, operational, and fundraising reports from the donor database to support leadership and development activities.
Respond to routine and ad-hoc data and reporting requests from leadership, development staff, and Program Managers.
Analyze donor giving patterns and trends to support fundraising strategies and planning.
Coordinate the selection and extraction of donor data for mailings related to special events, annual giving, major gifts, and marketing initiatives, ensuring mailing lists are accurate and current.
Serve as the primary administrator of the prospect management system, including identification, assignment, tracking, and documentation of major donor activity.
Work closely with finance and fundraising staff to support cultivation, solicitation, and stewardship schedules, providing timely data, reports, and prospect updates.
Other duties as assigned.
Education & Experience Associate’s degree in accounting, healthcare, or closely related field required.
Two or more years of experience in a clerical, database, development, or administrative support role.
Experience working with donor databases, customer relationship management (CRM) systems, or similar record‑keeping systems preferred.
Skills & Knowledge Strong attention to detail and high level of data accuracy.
Proficiency in database navigation, data entry, and reporting tools.
Working knowledge of spreadsheet and word processing software (e.g., Excel, Word).
Ability to manage multiple priorities and meet recurring deadlines.
Understanding of donor confidentiality and ethical handling of sensitive information.
Working Conditions Primarily office‑based clerical role.
Occasional deadline‑driven workload tied to campaigns, special events, and reporting cycles.
