Department: Tax / Accounting & Finance
Role Summary As Fuel Compliance Specialist at LV Petroleum, you will own the end-to-end execution of all fuel tax compliance and reporting across federal and multi-state jurisdictions. You will ensure that gallons, transactions, and tax filings reconcile accurately across our growing network of travel centers, gas stations, and bulk fuel movements. You will serve as the critical day‑to‑day operator bridging Tax, Licensing, Accounting, Operations, and IT teams in a fast‑paced, high‑volume fuel retail and travel center environment. Accuracy in this role directly supports LV Petroleum’s continued expansion while minimizing audit risk and ensuring full regulatory compliance.
Core Responsibilities: Tax Filings & Reporting
Prepare, review, and file all fuel‑related tax returns, including:
Federal excise tax returns (e.g., Forms 720, 8849)
State motor fuel tax returns
Environmental, inspection, and other fuel‑related fees
Monitor and apply tax rate changes across all operating jurisdictions as the company expands.
Reconciliation & Controls
Perform detailed gallon reconciliations across:
Rack and terminal activity
Bulk inventory and fuel dispensing systems
General ledger
Filed tax returns
Validate correct tax treatment for all fuel transactions (taxable vs. exempt, dyed vs. clear diesel, interstate vs. intrastate movements).
Identify, investigate, and resolve discrepancies between physical gallons, system‑recorded gallons, and reported gallons.
Build and maintain repeatable reconciliation processes and robust internal controls.
Partner closely with Accounting to correct any misclassified or miscoded fuel transactions.
Licensing & Permitting
Track, maintain, and renew all fuel licenses, permits, and registrations across current and new jurisdictions.
Support rapid expansion into new states or terminals by handling registration setup and ongoing compliance requirements.
Systems, Process & Audit Support
Ensure ERP systems, rack/terminal interfaces, and tax software correctly reflect fuel tax logic and mappings.
Collaborate with IT and data teams to resolve system issues and drive automation of reconciliations and reporting.
Maintain comprehensive, audit‑ready documentation (schedules, exemption certificates, transaction details).
Actively support and respond to state and federal fuel tax audits.
Required Qualifications (Non‑Negotiable)
3–7+ yearsof hands‑on experience in fuel tax compliance, indirect tax, or energy sector compliance.
Direct experience preparing and filing multi‑state motor fuel tax returns (federal + states).
Proven track record reconciling high‑volume gallon‑level data from rack/terminal, inventory, and retail dispensing systems.
Strong working knowledge of:
Federal excise tax rules and forms
State motor fuel tax regimes
Dyed vs. clear fuel regulations
Interstate/intrastate fuel movement rules
Advanced Excel proficiency (large datasets, complex reconciliations, PivotTables, etc.).
Experience with fuel tax or indirect tax software (Avalara, Sovos, or equivalent).
ERP experience (NetSuite, SAP, or similar).
