Job Description
As a Commercial Escrow Officer/Funder, you will be responsible for reviewing and analyzing closing instructions, invoices, and supporting documentation to prepare accurate settlement statements for real estate transactions. You’ll collaborate with customers to ensure the final settlement statement is produced efficiently. After the transaction closes, you'll balance the file, prepare it for funding, and disburse all funds according to the settlement statement and attorney/lender instructions. Additionally, you’ll be involved in assisting our customers as requested. This is an fully onsite position that will require in-office attendance Monday-Friday at our Tomball, TX location. This is an excellent opportunity to contribute to the successful completion of real estate transactions, working with a collaborative team in a fast-paced environment, where attention to detail is paramount.
Essential Functions
Manage Freddie Mac multi‑family transactions for the production of the Settlement Statement and, after closing by the title agent, fund the transaction.
Meet all escrow/title conditions required by lenders, counsel and/or title agents.
Review closing instructions and all documents received from the title agent to produce the settlement statement detailing the transaction in accordance with the terms of the Contract, attorney instruction, if any, lender’s closing instructions and all applicable federal and state rules and regulations.
Collaborate and interact effectively and professionally with the lender and title agent.
Demonstrate courtesy, flexibility, professionalism and be proactive and responsive to manager, co‑workers and customer’s needs and expectations.
Finalize settlement statement for closing by the title agent.
Review closing instructions as to requirements for funding.
Ensure all funds have been receipted and are good; confirm the disbursement sheet matches the settlement statement; verify the file has all the required invoices or supporting evidence for disbursements.
Balance figures and closing funds, prepare file for disbursement.
Fund loan and provide copies of all checks, wires, receipts and disbursement ledger to the title agent to complete their file.
Upload all documents into the appropriate category in the electronic file and send all to title agent to complete their file.
Handle other requests from the title agents or lenders (including active and cancelled agents).
Make time‑sensitive decisions that have a significant financial impact on the company during the preparation of the settlement statement and funding process.
Professionally and diplomatically handle and resolve any complaints or disputes surrounding the process, communicating with the Title Agent, ORT’s Agency Rep and their managers.
Assist in establishing and maintaining guidelines or implementing new procedures to ensure quality, operational efficiency and performance levels.
Maintain close communication with the title agent whose file we are handling, ensuring all tasks are completed on a timely basis.
Regular and consistent attendance is required, which could include after‑hour company events involving customer entertainment and educational events.
Foster, develop and maintain professional and collaborative working relationships; get along with others, i.e., peers, supervisors, outside customers, and vendors.
Work from 8:30 a.m. to 5:00 p.m., Monday through Friday.
Interact effectively and professionally with all levels of management, employees and customers by email, phone and in person.
Perform other duties as assigned.
Knowledge, Skills, and Experience Required
Three to five years experience as a closer.
Strong aptitude for figures and accounting functions; strong organizational skills; detail-oriented.
In‑depth knowledge of Texas Title Insurance rules and regulations.
Ability to work in a fast‑paced environment while successfully performing under extreme time constraints and meeting prescribed deadlines.
Excellent time‑management skills.
Ability to work independently with sound judgment and take initiative.
Excellent interpersonal, written and verbal communication skills.
Excellent problem‑solving abilities.
Strong attention to detail and ability to prioritize and handle multiple tasks and projects.
Clear, grammatically correct written and verbal communication.
Proficient in Microsoft Office Suite, Outlook; RamQuest experience is a plus.
Physical and Mental Demands
Maintain a courteous, business‑like composure in both the office and social/marketing situations.
If required by law, meet the criteria and be licensed by the State.
Overnight business travel by air and/or automobile required 1% of the time.
Work with confidential information.
