AV Sales Coordinator Reporting to: Sales ManagerTeam(s): SalesRegular/Recurring Meetings Attended: Bi-Weekly Sales L10, Discovery Calls, Site Visits, Events as needed Position Objective:To efficiently process incoming orders with accuracy and speed while converting inbound inquiries into sales by providing exceptional customer service and product knowledge.Key Responsibilities:Accurately process incoming orders and ensure all information is entered correctly in the system and fulfilled on time.Convert inbound leads into paying customers by responding promptly, educating them about products/services, and guiding them through the purchasing process.Maintain clear communication with internal teams (warehouse, logistics, etc.) to ensure seamless order fulfillment.Deliver excellent customer service by resolving order issues, answering questions, and building trust with new and returning customers.Contribute to sales growth by identifying upsell opportunities and following up on warm leads or abandoned inquiries.Live Oak AV Task Ownership List Respond to all assigned inbound sales inquiries within 24 business hours of receipt. Enter new client and deal information into CRM within 2 hours of initial contact. Schedule discovery calls via scheduler when appropriate and log all meeting notes in CRM under the deal. Follow up with prospects to secure order confirmation by contacting clients within 1 week of initial proposal, after 3 unsuccessful follow-up attempts, mark deal as "ghosted". Confirm customer details BEFORE finalizing orders. Upon client order confirmation, immediately complete the order confirmation process by confirming the order in rental software. Follow up with accounting to verify deposit payment by due date and contact the client if deposit remains unpaid. Maintain clean, accurate customer records and order history in HubSpot by updating contact information within 24 hours of any changes. Schedule post-event client debriefs when needed and update deal status in CRM. Collaborate with the Operations team to coordinate equipment delivery and pickup schedules. Assist with event site visits and equipment setup when required. Other tasks as assigned by the manager.Knowledge, Skills, and Abilities 2+ years of sales experience, preferably in AV, events, entertainment, or a related field Excellent communication, presentation, and negotiation skills Ability to read and interpret event floorplans and technical riders Ability to work flexible hours, including evenings and weekends during peak event season Strong organizational skills and attention to detail. Ability to manage multiple quotes and relationships at a time. Proficiency in event planning software and tools (i.e., HubSpot, Flex, LASSO, or similar systems). Must have experience in the audio visual, event planning, or hospitality industry. Ability to lift and carry up to 30 lbs and stand for extended periods during events. Commission Structure 3% commission on the total revenue of individual sales (less: Sales tax, discounts, sponsorships, and hotel/venue commissions), paid from invoicing data.
