
Event Production & Marketing Coordinator (Contract)

We’re hiring an Event Production & Marketing Coordinator to support our agency in producing and executing a high-profile dinner reception celebrating a new international partnership in Phoenix on May 1. You’ll serve as the organized backbone helping us track details and deadlines, and that nothing falls through the cracks while the planning and execution of the event moves forward.
RESPONSIBILITIES
Support event leads with planning and execution through May 1
Coordinate with vendors (AV, staging, décor, catering, photo/video, staffing) as directed
Help finalize and organize run‑of‑show, call sheets, floor plans, and seating
Assist with marketing and event assets (signage, branding, printed materials, slides)
Support guest/VIP logistics (lists, confirmations, check‑in materials, name badges)
Provide on-site help for walk‑throughs, rehearsals, and event day (signage checks, vendor liaison, errands, troubleshooting)
REQUIREMENTS
Based in greater Phoenix, AZ; able to be on‑site for meetings and event day
Must be available April 30 & May 1 (all day) — non‑negotiable
2 years in event coordination, experiential marketing, or production support
Strong organization and follow‑through; you like lists and structure
Comfortable in fast‑paced, deadline‑driven environments
Clear, professional communicator and highly reliable
NICE TO HAVE
Bilingual: English Mandarin Chinese
Experience with international, government, or trade‑related events
Familiarity working with emcees, speakers, and VIPs
Comfortable with Google Workspace and basic project management tools
