Job Summary A growing engineering and consulting firm is seeking a Proposal Assistant to support the development of high-quality, compliant proposals in response to RFPs and RFQs. This role is responsible for (1) assisting in the coordination and preparation of proposal submissions, (2) researching and analyzing opportunities, and (3) collaborating with technical teams to produce compelling written content. This position plays a key role in supporting business development efforts and ensuring timely, accurate proposal delivery.

Key Responsibilities • Assist the Marketing Specialist throughout the full proposal lifecycle from opportunity identification to submission • Conduct daily research to identify potential RFPs/RFQs and business opportunities • Analyze solicitation documents to determine requirements, compliance needs, and proposal strategy • Collaborate with engineers and project managers to gather technical content and project details • Write, edit, format, and proofread proposals, qualifications packages, and marketing materials • Revise proposal content based on internal review feedback • Maintain and update proposal boilerplate content, resumes, and project descriptions • Ensure all proposals meet submission requirements, deadlines, and quality standards • Coordinate proposal production including formatting, layout, and final packaging • Support interview preparation and post-submission follow-ups • Track and archive proposal submissions and maintain internal proposal libraries • Assist with additional marketing initiatives such as event coordination and advertising

Minimum Education & Experience Requirements • Bachelor’s degree in Marketing, English, Communications, Journalism, or related field (required) • 1–3 years of experience in proposal coordination, marketing, or related role preferred • Experience working with RFP/RFQ responses or professional services proposals preferred

Special Requirements • Ability to manage multiple deadlines in a fast-paced, deadline-driven environment • Strong attention to detail and ability to ensure compliance with submission requirements • Ability to work independently and collaboratively across teams

Knowledge, Skills, and Abilities • Excellent writing, editing, and proofreading skills • Strong organizational and time management abilities • Proficiency in Microsoft Office (Word, Excel, PowerPoint) • Experience with Adobe InDesign or similar design software • Ability to understand and communicate technical information clearly • Strong attention to detail and quality control focus • Effective written and verbal communication skills • Ability to manage multiple projects simultaneously

Work Environment This position operates in a professional office environment within a regional location. The role involves extended periods of computer-based work and collaboration with internal teams. Occasional flexibility may be available depending on workload and deadlines.
