Description

The Graduate Enrollment Specialist is responsible for managing prospective student engagement and converting inquiries into completed application files for SBU-supported online graduate programs, including MBA, Journalism, Cybersecurity, and Marketing Communications. This position plays a critical role in the enrollment funnel by conducting proactive outreach, nurturing leads, guiding prospective students through the admissions process, and ensuring timely application completion. The Specialist works closely with the Dean of Graduate Studies, internal stakeholders, and external partners to support enrollment growth and provide a high-quality prospective student experience.

Examples of Duties

Proactively engage prospective students through phone, email, text, and virtual meetings to convert inquiries into completed application files; maintain consistent follow-up cadence throughout the enrollment cycle. 40% Manage assigned leads within the CRM system (e.g., Slate), including tracking interactions, updating records, and documenting progress toward application completion 20% Guide prospective students through the admissions process, including application requirements, deadlines, program selection, and next steps; provide accurate and timely information. 15% Monitor application pipeline and identify barriers to completion; implement strategies to improve conversion rates and reduce applicant attrition. 5% Coordinate with Graduate Student Success Coordinator, financial aid, registrar, and other campus offices to assist prospective students with questions related to enrollment, billing, and program requirements. 5% Participate in virtual events, webinars, and recruitment initiatives to engage prospective students and promote graduate programs. 5% Maintain knowledge of all SBU-supported online graduate programs, including curriculum, admission requirements, and career outcomes. 5% Collaborate with admissions leadership to analyze enrollment trends and recommend improvements to outreach and conversion strategies. 5% Supplemental Functions: Assist with special enrollment initiatives, including corporate partnerships and targeted recruitment campaigns. Support data reporting and enrollment tracking as requested. Perform other duties as assigned.

Typical Qualifications

Education: Bachelor's degree preferred

Years of Experience: Two to three years' experience working with student populations

Knowledge, Skills, and Abilities: Strong interpersonal and communication skills, with the ability to build rapport and influence prospective students. Demonstrated ability to meet performance goals, particularly in outreach volume and conversion metrics. Experience with CRM systems (e.g., Slate) and proficiency in Microsoft Office (Word, Excel, PowerPoint). Ability to manage multiple priorities in a fast-paced, results-driven environment. Strong organizational skills and attention to detail. Ability to analyze data and identify trends related to enrollment performance. Commitment to excellent customer service and responsiveness. Ability to handle confidential information with discretion. Familiarity with online graduate programs and adult learner populations preferred.
