Overview

The University of California, San Francisco (UCSF) is seeking a Projects & Strategy Lead to provide advisory, analytical, and operational support to the Chief of Thoracic Surgery and its Faculty Leaders, managers, and directors. The role requires advanced policy analysis, program evaluation, strategic planning, and operational problem-solving across clinical, operational, educational, research, and institutional domains. The Projects & Strategy Lead will independently research, analyze, and develop high-impact recommendations on policies, programs, and proposals that are broad in scope and cross-functional. The position demands sound judgment, discretion, and the ability to distill complex information into actionable guidance for senior leadership. The role collaborates with faculty, directors, managers, and staff to optimize operations and advance the Division’s mission of excellence in clinical care, education, and research within UCSF’s academic medical center environment.

Responsibilities

Provide comprehensive advisory, analytical, and operational support to the Chief of Thoracic Surgery and its leadership.

Perform independent policy analysis, program evaluation, and strategic planning for cross-functional initiatives.

Research, analyze, and develop high-impact recommendations on policies, programs, and proposals.

Draft institutional documents including MOUs, contracts, recommendation letters, reports, and memoranda.

Manage or support complex faculty schedules, recruitment, meetings coordination, travel, and reimbursements.

Plan and execute ACCME-accredited Continuing Medical Education (CME) programs (e.g., Grand Rounds, symposiums, Thoracic Tumor Board, visiting professorships) including logistics, accreditation management, and post-event evaluations.

Support Visitors and Students’ Programs, onboarding/offboarding, access requests, and trainee evaluations.

Coordinate ACGME-accredited Thoracic Surgery Residency Program activities including recruitment, accreditation, onboarding, scheduling, reimbursements, and educational materials.

Collaborate with faculty and managers to ensure excellence across clinical care, education, and research; compile data and prepare reports, proposals, and applications to support divisional goals.

Support HR processes, financial transactions, budgeting, grant applications, capital asset management, and general administrative operations.

Coordinate office moves, space utilization, inventory management, emergency planning, and development/maintenance of standard operating procedures.

Develop and maintain procedural documentation, flowcharts, presentations, and website updates; support special projects and events as needed.

Demonstrate strong understanding of UCSF policies, travel/entertainment guidelines, HR protocols, accreditation standards (ACGME/ACCME), grant management, and event planning strategies.

Work on-site up to three times per week with occasional evenings or weekends for urgent operational needs.

Qualifications Required Qualifications

Bachelor's degree in a related area or 4 years of related work experience.

Minimum 3 years of progressive experience in administration, executive support, operations management, education program management, and project management.

Thorough knowledge of common organizational or research-specific software applications.

Thorough knowledge of administrative operations such as event planning, basic fundraising processes, risk management, website design, accounting and payroll, and contracts and grants regulations.

Strong interpersonal skills including verbal and written communication, active listening, critical thinking, and advising skills.

Hands-on, proactive approach with the ability to engage directly in tasks and drive process improvements.

Ability to maintain confidentiality and exercise discretion.

Strong project management skills; ability to manage multiple tasks under deadlines with sound judgment.

Deep knowledge of university rules and regulations related to budget, accounting, fund management, and personnel management.

Analytical and problem-solving skills with the ability to synthesize large datasets into relevant proposals/ analyses.

Reliable attendance and adaptability in a fast-paced environment.

Willingness to return on site within 2 hours in emergencies.

Preferred Qualifications

Minimum 5 years of progressive experience in administration, executive support, operations management, education program management, and project management.

Proficient knowledge of ACGME Residency/Fellowship management and ACCME accreditation requirements.

Experience working with surgeons in an academic setting.

Experience with Apex or similar platforms.

Prior UCSF School of Medicine/Academic Office experience preferred.
