Senior Executive Administrative Assistant
This role delivers high‑level administrative support to three Vice Presidents within the IT organization. The position partners across the organization, coordinating with senior leaders and global teams.
Responsibilities
Provide dedicated administrative support to three VPs and their departments, primarily within IT.
Partner closely with senior directors, administrative staff, and global stakeholders, exercising independent judgment.
Manage complex scheduling, calendars, and time coordination for leaders.
Coordinate domestic and international travel, expense reporting, and department purchasing/credit line management.
Support procure‑to‑pay processes to ensure timely and accurate transactions.
Prepare professional correspondence and complex presentations, maintain databases and spreadsheets.
Assist with meeting and event planning, including logistics, WebEx, and video conferencing.
Support staffing activities (interviews, onboarding, contractors), project management, and represent Baxter on local charity committees.
Qualifications
High school diploma required; Bachelor’s degree strongly preferred.
Minimum of 3+ years of relevant experience (Baxter experience preferred).
Advanced proficiency in Microsoft Office tools (PowerPoint, Word, Excel, Outlook, Access); document management experience a plus.
Strong proficiency with Internet/Intranet tools and online research.
Excellent written and verbal communication skills, including interaction with senior‑level internal and external stakeholders.
Proven experience with travel coordination, expense reporting, meeting planning, and calendar management.
Experience supporting global teams and/or technical organizations highly desired.
Demonstrated ability to multitask, manage time independently, maintain attention to detail, and provide VP support during peak activity periods.
Compensation The estimated base salary for this position is $64,000 to $88,000 annually.
