Position Summary Responsible for providing general office support to department Director and department staff.

Essential Duties and Responsibilities

Answers phones, takes messages for office staff, greets visitors, answers questions and directs visitors as needed.

Responsible for doing Green Sheets as they apply.

Timely and accurately maintains organized filing for department to include files, documents, correspondence, and other materials.

Accurately and timely maintains files.

Makes copies, faxes, answers e-mails, routes documents as necessary.

Has primary responsibility within the department for incoming and outgoing mail. Keeps accurate log of green sheets coming into and leaving the department. Responsible for filling out and sending certified mailings as necessary.

Responsible for typing correspondence or other documents as assigned by supervisor.

Must maintain confidentiality at all times.

Other duties as necessary or assigned.

Education and/or Experience

High School Diploma or G.E.D and one year of general office clerical experience including previous filing experience is required. Must be able to type at least 45 WPM. Beginner knowledge of word processing and database programs is required (Word, Excel and Access) in addition to accurate production of materials and documents using the computer.

Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to manage situations within standard procedure, but understands need to consult with Supervisor in circumstances outside normal protocol.

Other Skills and Qualifications

Must be flexible, a team player, and able to deal with stressful situations. Must be willing to cross-train with other department staff positions in order to provide team support and prevent interruption of services to the community.

Must be friendly, courteous and tactful and maintain confidentiality at all times.

Must be dependable and have an ability to keep track of various tasks.

Must be able to attend trainings as required by supervisor.

Must have and maintain a valid and unrestricted driver’s license and proof of automobile insurance. Driver’s License must not contain any restrictions that would prevent an employee from complying with the Tribe’s Vehicle Use Policy.
