Job Summary The Mailroom Specialist role focused on mail sorting, mailroom operations, and supporting high-end equipment services (copy, print, bindery, and related tasks). This is an ongoing assignment with no fixed end date. The position involves detail-oriented work, light physical activity, and training on postage machines and printers. Ideal for a punctual, reliable individual comfortable with repetitive tasks in an office environment. Qualifications High school diploma or equivalent required. Minimum 3 years of related experience (5 years preferred). Knowledge, Skills, and Abilities Excellent customer service skills. Good organizational skills with the ability to prioritize tasks effectively. Ability to use, calibrate, and troubleshoot office and complex technical equipment. Working Conditions and Physical Demands Office environment with adequate lighting, ventilation, and normal temperature and noise levels. Work assignments are diversified; requires interpreting, comprehending, and applying complex material, data, and instructions while preparing and conveying information. Minimal physical effort required; work is mostly sedentary but includes walking, standing, bending, reaching, lifting, or carrying objects typically under 10 lbs. (e.g., papers, books, files, small parts). Occasional lifting up to 70 lbs. (e.g., cases of paper). Moderate dexterity required, with regular use of basic skills such as calculator, keyboard, hand tools, and eye/hand coordination. Very light lifting, some walking, and standing for extended periods in the mailroom role. Training will be provided on the use of postage machines and printers. Additional Notes This is an allocated position that exists only when business needs require it and must be approved by the Regional Director. Reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on site configuration. Position involves following Service Excellence performance requirements and maintaining professional standards at all times. Key Responsibilities Sort incoming and outgoing mail in the mailroom and perform any additional tasks to support the mailroom team. Handle one or more of the following functions as needed: press operation, copier operation, bindery, fulfillment, quality control (QC), final check, pickup/delivery, facility maintenance, and general mailroom duties. Provide copy and mail center services, manage conference rooms and AV equipment, oversee convenience copier fleet, and deliver various support services. Prepare, inspect, compile, and assemble projects accurately and in a timely manner to achieve customer satisfaction. Work at a quick yet steady pace while maintaining quality and error-free output to meet deadlines. Achieve established Time Productive statistics and maintain all required reporting tools. Calibrate equipment to produce color and quality matching originals. Transfer files electronically from the network to color equipment. Demonstrate operational knowledge of duplication equipment to produce error-free work. Maximize print performance by simultaneously performing a minimum of two functions on print equipment when workflow allows. Troubleshoot hardware and software issues with equipment. Maintain optimal machine performance by resolving simple problems (e.g., clearing jams, refilling toner, replacing machine oil) and using machine codes to report failures. Organize jobs by validating job name and number, reading instructions on the Job Request Form, and preparing supplies. Perform servicing and repair procedures, including diagnostics, installation, removal, and retrofits on complex office products. Troubleshoot and repair or replace equipment components as necessary. Complete technical training on new equipment as assigned. Follow all company Service Excellence performance requirements and attendance standards. Present a professional appearance and maintain a clean, organized working area. Maintain and order inventories of equipment parts according to company guidelines. Perform other duties as assigned.
