Overview
Job Description

– Receives phone inquiries directing the call to the proper party or recording messages correctly; and engages prospective residents to provide information and schedule property visits.

Responsibilities

Receive phone inquiries, direct calls to the proper party, and record messages accurately.

Answer calls from prospective residents, provide information on availability and prices, and encourage scheduling a property visit.

Meet with prospective residents, answer questions, conduct property and apartment tours (including upstairs and downstairs levels), obtain initial information from prospects, and review lease requirements with the prospect to encourage application submission.

Prepare and maintain a complete resident file system; ensure all forms, records, leases, and agreements are current and properly filed.

Record resident service requests accurately to assist the maintenance team in timely completion.

Schedule and inspect apartments for turnkey service.

Receive and acknowledge resident notices and prepare files.

Assist in lease renewal procedures: complete renewal printouts, obtain manager approval, and send renewal letters to residents who cannot be reached by phone.

Type new leases and all applicable addendums; assemble move-in packages.

Keep market surveys of competitor rates up to date (at least monthly) and visit competitors three times annually.

Keep all filing current and schedule guest apartment and clubhouse rentals.

Operate the office alarm system in conjunction with opening and closing the office.

Deliver thorough move-in presentations to new residents.

Calculate daily rent, prorated charges, late fees, and related percentages; possess basic arithmetic skills (multiplication, division, addition, subtraction).

Education and Experience

Excellent written and verbal communication skills for effective interactions with residents, prospects, employees, peers, vendors, owners, etc.

Computer software experience to include MS Word, MS Excel, MS Outlook, and OneSite.

Basic understanding of Federal, State, and local Fair Housing laws.

Licenses and Certifications (Preferred)

Valid driver’s license.

NALP (as applicable).

Required experience: Sales/Property Management – 1 year.
