Position Overview
We are seeking an experienced Real Estate Paralegal or Junior Associate Attorney to manage and coordinate real estate transactions from listing through closing. This individual will serve as a key point of contact across clients, attorneys, agents, vendors, and Managing Broker ensuring that all deals progress smoothly, efficiently, and in compliance with applicable regulations. Key Responsibilities
Manage residential real estate transactions from listing through closing
Input, maintain, and update property listings in MLS and internal systems
Coordinate with marketing on new listings, status changes, and closing updates
Collaborate closely with agents, clients, attorneys, title companies, escrow agents, lenders, and vendors
Track upcoming listings, executed agreements, deal terms, and commission structures
Monitor commission processing and follow up on timely wire transfers
Act as a primary point of contact for transaction‑related inquiries
Manage deadlines, contingencies, compliance requirements, and closing timelines
Assist with review, coordination, and preparation of contracts and transaction documents
Maintain accurate, highly organized digital and physical transaction files
Confidentiality, Compliance & Risk Management
Handle highly confidential and sensitive client, financial, and transactional information with discretion and professionalism
Maintain strict confidentiality regarding client identities, financial details, contract terms, commission structures, and proprietary business information
Assist with compliance procedures, including verification of wire instructions and adherence to fraud‑prevention protocols
Support adherence to Florida real estate laws, ethical standards, and internal compliance practices
Promptly identify and elevate potential issues, discrepancies, or risks within transactions
Qualifications
5+ years of experience as a real estate paralegal or junior associate attorney
Strong experience reviewing, coordinating, and managing contracts and legal documents
Demonstrated ability to manage multiple transactions simultaneously in a fast‑paced environment
Excellent written and verbal communication skills, particularly with legal professionals and high‑net‑worth clients
Exceptional organizational skills and attention to detail
Real estate transactional experience strongly preferred
Required: Prior experience working in an in‑office professional environment, demonstrating strong collaboration skills and the ability to work closely with colleagues in real time
Attorney candidates: Florida Bar admission in good standing (or eligibility pending admission)
Paralegal candidates: Formal paralegal training or certification preferred
Technology & Systems
Proficiency with MLS platforms and transaction management systems
Comfortable working with document management tools and digital filing systems
Strong working knowledge of Microsoft Office and/or Google Workspace
