Parts Dept Order Entry
Division: Hoffman Parts & Warehouse
Position Purpose: Order Entry personnel will be responsible for the prompt and accurate processing of all industrial HVAC replacement parts orders. This position is responsible for reviewing, entering and tracking orders from the department parts technicians into the parts department accounting system and with various vendors. This is a fast paced position that requires the ability to multitask, a strong attention to detail, prioritize, work in a team environment and desire to learn and take initiative.
Duties & Responsibilities:
Review orders for accuracy (including account number, shipping address, Hoffman Parts & Warehouse cost, customer price, product, quantity, tax status/payment terms etc.)
Enter orders into the departments accounting system and with various vendors accurately
Follow up with vendors ensuring orders were received and obtain tracking information
Relay questions from vendors regarding orders as needed to the appropriate team member and following up with the vendors to ensure orders are completed
Match incoming paperwork from vendors to appropriate orders as needed to ensure all orders are complete
File orders once invoiced.
Position Requirements:
Associates or bachelor's degree preferred, but not required
One to two years of office experience preferred but not required
Intermediate knowledge of Microsoft Word, Excel, One drive, PDF program and Outlook
Ability to perform work accurately and thorough with limited supervision
Excellent interpersonal skills with the ability to communicate effectively with coworkers and vendors.
Ability to multitask with a strong attention to detail
Ability to prioritize tasks to maximize efficiency
Must be reliable, punctual, responsible and able to take direction
Work as a team to provide excellent customer service
