Your impact
Jacobs is seeking a dynamic and highly organized Business Development Coordinator & Office Manager to support our Miami office operations while partnering closely with Client Account Managers, pursuit teams, project managers, and office leadership to advance sales opportunities and enable successful project delivery.

This intentionally multifaceted role blends business development support, project coordination, data management, and front‑office leadership. As the first point of contact for clients and visiting teams, you will help shape the experience and impression of Jacobs in Miami—ensuring a professional, welcoming, and high‑performing environment.

You’ll gain exposure across Water, Transportation, and Cities & Places markets, offering visibility into how work is pursued, won, and delivered at a leading global AEC firm. For a motivated professional, this role provides a strong foundation for expanded growth in business operations, account management, or sales leadership.

What You’ll Do
Business Development & Sales Support

Partner with Client Account Managers and technical teams to support pursuit execution, including qualifications packages, presentations, and client‑facing materials.

Maintain opportunity tracking, account setup, portfolio reporting, and internal approval processes to ensure sales readiness.

Coordinate internal and external meetings (virtual and in‑person), including scheduling, logistics, materials preparation, and follow‑up.

Review, edit, and format documents to ensure clarity, quality, and brand consistency.

Support development and production of graphics and marketing materials to meet compliance and deadline requirements.

Assist with client engagement preparation, including research, meeting logistics, and interview coordination.

Serve as a liaison between Sales and Operations to promote alignment and cross‑market collaboration.

Office Operations & Coordination

Serve as the welcoming face of the Miami office, creating a professional, organized, and high‑performing workplace that reflects Jacobs’ culture and standards.

Act as a central coordination hub for daily office operations and cross‑functional priorities.

Support meetings, trainings, and office initiatives from planning through execution.

Coordinate conferences and internal events, including vendor engagement and logistics management.

Manage operational workflows such as expense tracking, documentation routing, and enterprise system updates (e.g., Oracle, Salesforce, or similar platforms).

Provide coordination support to delivery teams, including information tracking, documentation management, and quality/compliance checks.

This position requires full‑time, in‑office presence at our Jacobs Miami office.

Here’s what you'll need

Bachelor’s degree in business, marketing, communications, technical, or related field preferred (or equivalent experience).

2–5 years of experience supporting business development, project teams, or office operations in a professional services environment (A/E/C industry preferred).

Excellent written and verbal communication skills, with strong attention to grammar, formatting, and detail.

Demonstrated ability to manage multiple priorities and deadlines with strong follow‑through.

Ability to work independently while collaborating effectively across diverse teams and leadership levels.

Comfortable working full‑time in‑office in a professional, fast‑paced environment.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams); familiarity with Adobe Creative Suite (Acrobat Pro, InDesign) preferred.

Experience with enterprise systems (Oracle, CRM, Salesforce, or similar) is a plus.

The base salary range for this position is $45,500.00 to $79,500.00; though will be paid hourly based on hours worked. Within the range, individual pay is determined by work location and additional factors, including job‑related skills, experience, and relevant education or training.
